General Information
Admin Officer – HM Courts & Tribunals Service (HMCTS). Salary £25,582. Full‑time, 37 hours per week. Location Cardiff, Wales. Closing date 22 Oct 2025. Permanent, civil service grade AO.
Responsibilities
* Provide excellent administrative support and customer service to court users, judiciary and management.
* Carry out general administrative duties to progress cases through the tribunal system or provide support to other functions within HMCTS.
* Manage diaries, including the E-judiciary diary, and book travel and hotel arrangements.
* Update the outstanding Judgments spreadsheet weekly and maintain a confidential filing system.
* Prepare and collate paperwork for meetings, including collating papers open file when the REJ is attending a meeting.
* Type minutes of meetings such as User Group Meetings, and prepare syndicate group lists.
* Coordinate training dates, venues and liaison with judges and NLMs, and update records on One Note.
* Assist the Regional Employment Judge as admin assistance, attend events at locations, run events and collate paperwork and set up room.
* Notifying the Presidents Office regarding special leave/sick leave and email monthly sick record for Fee Paid Employment Judges and Salaried Judges.
* Arrange job‑shadowing, maintain records and send to President, and arrange Appraisal dates, keeping appraisal database up to date.
* Log complaints and update letters of complaint at the request of the REJ ensuring copies of any related to a NLM are put on their file.
* Maintain judicial mediation report and manage retiring NLMs/ Judges correspondence, and keep the REJ updated with email addresses when an NLM starts or finishes.
Qualifications & Skills
* Friendly and approachable manner with excellent customer service skills.
* Strong diary management, including the E‑judiciary diary.
* Typing, computer, and Microsoft Office (Word, Excel, Outlook) proficiency, including OneNote.
* Excellent written and verbal communication.
* Ability to manage confidential information and maintain a confidential filing system.
* Experience organising events, booking travel and hotel arrangements.
* Attention to detail and ability to work independently.
* Strong organisational and multitasking skills.
