Our client is a leading boutique financial search firm and they are looking for an experienced PA to predominately (70%) support the founder whilst also providing some assistance to 4 consultants and managing the office. They are a small, really friendly and passionate team with a family feel and they place high value on discretion, respect, loyalty and integrity. The role will be supporting the founder 70% of the time managing his business and some personal affairs. You will be liaising with his clients and need to be a great ambassador for him, managing his time efficiently, gatekeeping and being his eyes and ears. The team and office management duties will take up the other 30% and as it's a small office it's a muck in mentality. Their offices are based in Mayfair but they work Fridays from home. They want someone with experience and as such are willing to offer flexible start and end times (i.e 9.15am - 4.30pm) to accommodate candidates who might have childcare commitments. Duties will include but not be limited to: EA duties: Complete inbox, diary and LinkedIn management. Handle calls in an appropriate and professional manner. Arrange meetings and lunches with clients and candidates. Prepare documents for candidate meetings. Edit and proofread internal documents. Prepare, edit, proofread and print documents and assignment reports for client meetings. Support with searches such as recording information accurately on CRM systems and other internal logs. PA duties: Booking restaurants, travel, sports bookings, medical appointments and insurance. Support with administration work for charities the founder is affiliated with ad hoc errands (e.g. help with family admin, presents and gifting, holiday planning and booking, children’s events etc.). Managing personal bills, insurance and renewals (household bills, car insurance, MOTs etc.). Office Administration: Responsible for the general upkeep of the office. Meet and greet guests. Book and prepare meeting rooms. Manage the company’s soft and hard filing systems. Process Consultants’ monthly expenses and monthly accounts. Assist with onboarding and training of new staff (interns / juniors). Maintain online presence and ensure the website is kept up to date. Handle stationery orders. Ensure the office’s software and hardware is kept up to date and handle any issues. Take initiative and advocate for the improvement of processes and software. Monitor and complete awards submissions. Ad-hoc operational / research project assistance when required.
