The Opportunity
Team Overview
Legal Ops Tech is focused on improving the service delivery experience for a particular client or matter, as well as designing, developing, and delivering matter management tools and technologies to support the LPMs and lawyers in solving matter related problems.
The team also supports the wider Legal Ops and Transformation teams through designing and delivering digital solutions to the firm.
Primary Objectives
The successful candidate will support the Legal Operations and Transformation (LOT) Team on the delivery of technical work on strategic data & technology projects that span across three pillars: Reporting, Insights & Analytics and Product Management.
The primary objectives are as follows:
General Legal Operations
1. To support LOT Management in planning, designing, and implementing systems and processes relating to key strategic projects.
2. To support client-facing work by developing solutions that address specific client issues.
3. To promote the Legal Operations function, including user education, training and other presentations and communications.
Legal Project Management
4. To proactively work with legal teams to build Legal Project Management capabilities to support the efficient and effective delivery of legal services.
Technical Delivery
5. To scope, plan, manage and deliver packages of work to the quality required, on time and within budget.
6. To ensure delivery complies with the appropriate internal governance and architectural principles.
7. To work effectively with colleagues across IT and the business to gain commitment, support and resource to deliver technical streams of work.
8. To support software development teams in the technical delivery of key data and analytics infrastructure.
Primary Responsibilities
In conjunction with the Legal Ops Technology Manager and Senior Legal Transformation Manager:
General Legal Operations
9. To collaborate with the global team in designing and delivering a suite of self-serve tools for matter teams to utilise on small to medium size opportunities.
10. To assist the senior team in working with clients and to develop solutions targeting case milestones that are operationally demanding or difficult to deliver.
11. To contribute to long term behavioural change through coaching and drafting self-serve materials.
12. To assist the LOT team in creating and running internal training sessions for lawyers, secretaries, and business services teams.
Legal Project Management
13. To support medium to large sized matters throughout the matter lifecycle and encourage best practice in data analysis, estimating and budgeting, monitoring, reporting and post-matter reviews.
14. To supporting the creation and management of Client Portals and dashboards at both client and matter level.
15. To assist in setting up complex reporting structures on cases that require close monitoring of profitability and KPI forecasting.
16. To assist the team in developing metrics and reporting tools to clearly illustrate trends and analyse firm performance, and to proactively identify areas of concern, success and opportunity.
17. To prepare post-matter financial analysis to be presented to key stakeholders.
Legal Transformation
18. To support the identification of legal automation use cases and related workflow solutions to transform legal service delivery.
19. To support the identification of legal process design opportunities, collaborating with the Legal Transformation team and embedding legal technology solutions in the Practice Groups' operations.
Technical responsibilities
20. To build modular, client-facing technology solutions that can be leveraged across cases.
21. To design, build, update and maintain collaboration platforms (SharePoint and HighQ).
22. To build and manage automated workflows with tools such as Power Automate.
23. To design automated dashboards and other data visualisations with tools such as PowerBI.
24. To support development teams in translating business requirements to technical specifications, and to draft data diagrams and SQL code to aid in the production of API endpoints.
Essential Qualifications / Skills / Experience
25. 3+ years working experience (law firm environment preferred) or a strong technical background or qualification.
26. Strong foundational skills with the Microsoft 365 Suite (with a preference towards Excel, PowerBI, SharePoint and Power Automate).
27. Experience working with data, manipulating datasets and in data analytics.
28. Experience working with SQL databases and web servers.
29. Experience using Python libraries for data management, automation and visualisations.
30. Practical experience in all stages of managed services delivery, from managing change through to service acceptance testing and handover to operational support teams.
31. Skilled in client service, working collaboratively with external service providers, coming up with creative solutions to issues, and seeing beyond complexity to achieve the right outcomes for the firm.
32. Excellent verbal and written communication skills.
Preferable Qualifications / Skills / Experience
33. Appropriate undergraduate/post graduate degree qualification (preferred but not a necessity).
34. Experience working in a pricing, project management or operational role in a professional services environment.
35. Web design and UI/UX design.
36. Confident using APIs to access data from systems.
37. Understanding of Scrum/Kanban and how they are typically used in large organisations to track progress.
38. Familiarity with the dynamics, culture and challenges of law firms or other professional services businesses.
39. Extremely numerate, with the proven ability to convert complex/raw data into concise and actionable insight.
40. Able to build relationships and influence all levels of seniority.
41. Excellent training and presentation skills.
