We are looking for a reliable and well organised Admin Support to provide administrative assistance to the wider team and offer cover support for EV Logistics Coordination when required.
This role is ideal for someone with strong administrative skills, a proactive approach, and the flexibility to support both office-based activities and operational coordination. You will play an important role in ensuring smooth office processes while supporting the effective scheduling and administration of our maintenance department.
Job requirements
* Previous experience in an administrative or office support role
* Strong organisational skills with excellent attention to detail
* Ability to manage multiple tasks and prioritise workload effectively
* Clear and professional communication skills, both written and verbal
* A flexible and adaptable approach, with willingness to support operation logistics when needed
* Ability to work independently as well as part of a team
* Experience supporting logistics, transport, or fleet administration (EV experience is an advantage but not essential)
* Familiarity with scheduling systems, booking software, or operational databases
* A problem-solving mindset and proactive attitude
* Interest or awareness of electric vehicles and sustainable transport
Job responsibilities
Repair Facility Administrator
* Provide administrative support to teams and management, including filing, data entry, and document management.
* Respond to customer enquiries, issue quotations in line with agreed rates, and process customer orders.
* Issue order documentation for Repair and manufacturing teams and coordinate daily work records.
* Arrange return of repaired products back to customer including client specific paperwork.
* Create and issue invoices for work carried out.
* Raise PO’s and issue invoices for work within relevant systems.
* Produce shipping documentation and support the coordination of shipping of goods between our Knaresborough lab and our clients.
* Maintain accurate records, spreadsheets, and internal system data.
* Monitor and maintain office supplies.
* Assist with ad hoc administrative tasks to support the wider business.
EV Logistics Coordination
* Provide administrative cover for EV logistics operations during periods of absence or peak demand.
* Assist with vehicle scheduling, booking systems, and route coordination.
* Support reporting on EV operations, including mileage, availability, and operational data.
* Help ensure logistics processes are followed accurately and efficiently.
* Support reactive maintenance activities where priorities may change at short notice.
* Assist coordinators during high workload periods to maintain service levels.
