One Property Recruitment is delighted to be working with a well-established and reputable managing agent in Manchester. This is an excellent opportunity for an Admin Assistant to join a professional property management team on a 6-month fixed-term contract, providing dedicated support across a residential block portfolio. This role would suit someone with previous residential block or property management experience who is highly organised, detail-oriented, and confident supporting operational, financial, and compliance processes within a busy environment.
Key Responsibilities
Property & Estate Support
Assist in managing a portfolio of residential blocks and developments
Support regular site inspections and prepare written inspection reports
Help ensure communal areas are maintained to a high standard of cleanliness, safety, and presentation
Liaise with contractors and service providers, monitoring performance and escalating issues where required
Assist in coordinating both planned and reactive maintenance works
Resident & Client Support
-Act as a secondary point of contact for leaseholders, residents, and freeholders
-Respond to general enquiries and assist with resolving complaints and urgent issues
-Support the organisation and preparation of residents' meetings and AGMs, including minute taking where required
-Maintain professional and constructive relationships with stakeholders
Financial Administration
-Assist with the preparation of service charge budgets
-Support monitoring of expenditure against approved budgets
-Process and check invoices in line with company procedures
-Maintain accurate financial records relating to managed developments
Compliance & Health & Safety
-Support monitoring compliance with lease terms, legislation, and industry standards
-Assist in tracking health & safety requirements, including fire risk assessments and insurance documentation
-Maintain accurate records of statutory inspections and certifications to ensure deadlines are met
-Report potential risk issues promptly to the Property Manager
Administration & Reporting
-Maintain organised and accurate property files and digital records
-Assist with preparation of reports for clients, residents, and senior management
-Use property management systems and internal software effectively to record and update information
About You
-Strong written and verbal communication skills
-Excellent organisational skills with strong attention to detail
-Ability to work collaboratively within a team environment
-Competent IT skills, including property management systems, email, and spreadsheets
-Full UK driving licence
-Previous experience within residential block or property management
-Working knowledge of service charges, leases, and relevant property legislation
