A bit about what you will do...
The senior M&E Planning Executive is responsible for creating
comprehensive event orders through effective communication with both the client
and hotel operational teams, enabling accurate event execution.
The role also involves maintaining
relationships with repeat clients and may include directly contracting or
converting repeat enquiries. Additionally, the position supports the Head of
Planning and assists the wider Meetings and Events Executive team as needed.
* Manage all bookings
handed over from the Enquiries Team with courtesy and efficiency, delivering
the highest levels of customer service.
* Take ownership of
delivering exceptional planning/experience for VIP clients and lead the
execution of flagship events.
* Collaborate with
clients and operational teams to record all booking details, producing detailed
event orders/function sheets.
* Ensure timely
collection of agreed pre-payments/deposits.
* Guarantee function
sheets include all necessary and accurate information.
* Distribute
operational details to relevant departments within agreed timelines.
* Compile and circulate
daily and weekly function sheets.
* Conduct client site
visits, planning meetings, and food and wine tastings.
* Lead or participate
in pre-event meetings with clients and hotel teams.
* Attend and oversee
your own events and support team events to ensure smooth operations.
* Assist with
associated accommodation bookings.
* Ensure all health and
safety requirements are addressed for each booking.
* Collect and verify
health and safety documents, risk assessments, and insurance details from
third-party suppliers.
* Draft floor plans
using appropriate diagramming tools.
* Provide on-the-day
operational support for events.
* Oversee and delegate
daily team tasks (e.g. distribution of function sheets and operations packs).
* Monitor deposit
collection timelines and follow up with the Events Team.
* Check function sheets
and operations packs for accuracy and standards.
