Duties and Responsibilities:

The duties and responsibilities of an Admin Apprentice may include some or all of the items listed below, depending on competency levels, workload, and staffing. Duties may vary under the direction of the Practice Manager.

Core tasks include:

* Handling internal and external post and emails daily.
* Answering queries face-to-face and via telephone, taking messages, and passing them to relevant staff promptly.
* Meeting and greeting visitors as required.
* Providing reception cover when needed.
* Retrieving and obtaining clinical/non-clinical records upon request.
* Supporting clinic and appointment management, including record retrieval.
* Maintaining filing systems according to organizational policies.
* Assisting with stock ordering and maintenance.
* Collating information for reports.
* Being a flexible and supportive team member.
* Adhering to health and safety regulations.

Prescriptions:

* Processing acute and repeat prescription requests in line with contract requirements.
* Identifying patients due for prescription reviews with GPs.
* Managing systems for passing prescriptions to pharmacies with collection services.
* Liaising with doctors, patients, hospitals, and pharmacists regarding medication.
* Managing controlled drug recording systems.
* Ordering stationery for prescription issuance.

Record Keeping and Compliance:

* Processing registrations and deductions per Health Authority requirements.
* Maintaining accurate records for temporary residents.
* Summarizing patient notes according to procedures and deadlines.
* Using read codes and scanning correspondence for accurate record keeping, including QOF data.
* Ensuring patient records are current and accessible to clinicians.

Training and Policy Adherence:

* Completing all required educational and training activities during the training period.
* Signing and adhering to a learning contract with the training provider.
* Assisting with service audits as appropriate.
* Managing physical equipment and reporting defects.

At Wells Medical Practice, the post holder will work towards a Business Administration Level 3 Qualification over 15 months.
