Overview of the Role
* The Health and Safety Coordinator at Unipol will play a crucial role in ensuring the safety and compliance of our offices and property portfolio. This role involves coordinating health and safety and compliance inspections and routines, maintaining accurate records, and ensuring all compliance checks are up to date. The successful candidate will work closely with the Health, Safety and Compliance Manager and the Operations Team, to coordinate documentation, training records, incident reporting, and compliance monitoring. The Health and Safety Coordinator will provide essential support in maintaining a strong safety culture.
* The ideal candidate will have previous experience in an administrative role, preferably within a health and safety or property management environment. They will possess excellent organisational and time management skills, with a keen eye for detail. Strong communication and interpersonal skills are essential, along with proficiency in Microsoft Office Suite and digital record keeping systems. The candidate should be capable of managing multiple responsibilities efficiently and be committed to fostering a culture of safety and compliance within the organisation.
Key Responsibilities
* Take first line responsibility for arranging and coordinating all health and safety, and compliance inspections and routines within Unipols Operations and Maintenance teams.
* Compile, review and collate risk assessments and work method statements for all maintenance operatives directly employed by Unipol.
* Ensure quarterly communal fire door inspections have been undertaken, ensuring logs are completed accurately and faults are reported, alerting the Health, Safety and Compliance Manager of any concerns.
* Work closely with the Operations Team through regular communication about upcoming and outstanding compliance schedules, outstanding actions and follow-up visits.
* Support the Health, Safety and Compliance Manager with collating documentation for ANUK verification, Fire Safety Audits and Fire Risk Assessments and uploading these onto relevant systems.
* Arrange access and manage keys for contractors and engineers, notifying tenants in a timely manner of scheduled visits.
* Maintain databases and systems used for compliance monitoring and reporting.
* Support the coordination and tracking of mandatory health and safety training for staff.
* Maintain accurate records of risk assessments, audits, training, and incident reports.
* Help organise and conduct fire drills, safety inspections, and emergency planning exercises.
* Undertake in person DSE assessments for identified staff and elevate as appropriate.
* Assist in the preparation and distribution of health and safety communications, newsletters, and guidance materials.
* Manage the health and safety related mailboxes and respond to routine queries or elevate as appropriate.
* Produce monthly reports to monitor Unipols compliance with health and safety legislation, codes of practice, and internal policies.
* Provide administrative support to the Health, Safety and Compliance Manager, including taking minutes.
* Undertake project work as directed by the Health, Safety and Compliance Manager to support Unipol’s health and safety policy and procedures.
* Maintain a strong health and safety culture, ensuring compliance with Unipol’s health and safety policy and procedures.
Qualifications and Skills
* Previous experience in an administrative or health and safety role, preferably within a property management, higher education or public sector setting.
* Strong organisational and time management skills.
* Excellent communication and interpersonal skills.
* Proficient in Microsoft Office and digital record-keeping systems.
* Ability to prioritise tasks and manage multiple responsibilities efficiently.
* An understanding of health and safety principles and willingness to undertake further training (e.g., IOSH Managing Safely).
* Familiarity with fire safety, COSHH, manual handling, and DSE regulations.
