Office Manager
We are looking for an Office Manager to be an integral part of small, dynamic and highly effective team that is responsible for running AC Environmental Services. A suitable candidate will be someone who can work with us across all aspects of the company, including: Administration, planning, logistics, projects, finance and communications.
The role requires someone who is positive, enthusiastic, organised, enjoys being involved with various elements of a small company and will take full responsibility for their workload.
Main Duties & Responsibilities:
1. Management and operation of administration.
· Answering the telephone.
· Creating new job files.
· Ensuring all aspects of the job records are up to date.
· Ensuring site paperwork is received and complete.
· Maintaining sick and holiday requests and records.
1. Planning and organisation of the workload
· Scheduling works in the diary.
· Keeping the workflow system up to date.
· Ensuring site operatives are informed and up to date.
· Ensuring removal operatives have completed and returned all relevant paperwork.
1. Client liaison
· Booking in jobs with clients.
· Maintaining contact with clients at key stages to ensure clear communication and smooth operation of works.
1. Managing job financials
· Invoicing works.
· Ensuring clear communication with clients in respect of the invoicing process.
· Ensuring all invoices are sent and paid within set timescales.
1. Status management of key processes
· Ensuring all quotes are completed and processed in a timely manor.
· Ensuring jobs that are not accepted are chased within set timescales.
· Maintaining clear status records so job progress is clear to all.
· Monitoring job completion to ensure all clients have received relevant paperwork.
Experience & Key Attributes:
· Experience of working in an office environment.
· Fully literate in all MS Office programmes.
· Proactive and customer focused approach to work.
· Excellent interpersonal and communication skills.
· Good attention to detail.
· Ability to take responsibility, capability of working on own initiative and effective as part of a team.
· Experience in a previous office management role supervising staff would also be beneficial but not essential
Accountability:
The Office manager will report to the contracts manager and company directors.
Job Types: Full-time, Permanent
Pay: £24,000.00-£30,000.00 per year
