Leading international construction company with over 150 years of history has an exciting new opportunity in their growth phase for an experienced Business Administrator to join their team.
The Business Administrator will report to the Operations Director. The role's purpose is to support the respective business unit with administrative resources, organizational, and departmental functionality. Essential skills include managing diaries, coordinating travel requirements, maintaining integrity, communicating effectively, prioritizing workload, and handling multiple tasks proactively, efficiently, and with an organized approach.
Responsibilities:
* Arrange and coordinate diaries for meetings and book meeting rooms.
* Set up meeting facilities, organize refreshments/lunch, and IT equipment.
* Organize and coordinate travel arrangements, including flights, hotels, parking, and transportation.
* Organize restaurant bookings.
* Manage travel and accommodation for Head Office visits, liaising to book meeting rooms as needed.
* Support the Assistant to the Managing Director with meeting schedules and liaising across business areas for continuity.
* Assist in preparing documentation for larger meetings.
* Compile a list of preferred hotel suppliers with negotiated rates, ensuring value and reviewing periodically, aligned with the Events Team.
* Handle correspondence and general administration.
* Provide daily administrative support to designated business teams.
* Manage department spreadsheets and maintain credit card records.
* Track staff anniversaries and arrange gifts or celebrations in coordination with HR.
* Work cost-effectively within budget constraints.
* Support the Events Management team with ad-hoc tasks.
* Assist the MDs' team as needed.
