Post Title: Senior People Administrator

Contract Type: Permanent

Workplace: EFL House, Preston

Reporting to: Director of People

The EFL is seeking a well-organized and detail-oriented Senior People Administrator to join our People Team. The role is based at our Preston office and involves supporting the administration of HR processes across the EFL and EFL in the Community (EFLitC).


Job Outline

Reporting to the Director of People, the Senior People Administrator will manage and improve HR administrative processes within the EFL and EFLitC, ensuring accuracy and efficiency.


Key Responsibilities

1. Enhance all HR administrative processes for the EFL and EFLitC, ensuring they are user-friendly, accurate, and timely.
2. Maintain and optimize the EFL/EFLitC core HR system, currently People HR.
3. Generate reports from People HR and analyze data using Excel to create graphs, dashboards, and summaries for KPI tracking.
4. Collaborate with People Officers to create and update templates and procedures for recruitment, onboarding, induction, learning and development, employee benefits, case management, and offboarding.
5. Manage the dissemination of people policies, including maintaining trackers, formatting content, and publishing via the intranet.
6. Lead SharePoint communications for the People Team, sharing updates and news.
7. Support compliance by maintaining accurate, legally compliant employee records and assisting with audit preparations.
8. Accurately record meeting notes.
9. Assist with team financial administration, including invoice approvals and contract renewals, maintaining records accordingly.
10. Create and update organizational charts for departments and the wider organization.
11. Monitor the People inbox, respond to queries, and direct issues to relevant team members.
12. Maintain the People Team's calendar, facilitating project organization and communication.
13. Develop and update relevant trackers and support ad hoc projects to improve efficiency.
14. Act as a point of contact for internal and external queries, providing signposting as needed.
15. Coordinate mandatory training and probation tracking, ensuring completion and documentation.


About The Candidate


Knowledge & Understanding

* Experience managing confidential administrative tasks to high standards.
* Understanding of GDPR and data protection principles.
* Knowledge of HR procedures and documentation.
* Experience with administrative procedures within a professional organization.
* Ability to prioritize and organize workload effectively.


Technical Skills

* Proactive, resourceful, with problem-solving confidence.
* Strong skills in Microsoft Office and 365 applications, especially Word, PowerPoint, SharePoint, Outlook, and Excel.
* Detail-oriented and able to work under pressure to deadlines.
* Preferably experience working within HR, legal, or finance teams as a senior administrator.
