We're seeking someone to join our team as an Executive Assistant in Glasgow Technology to engage with a wide range of Technology & wider business stakeholders, both internally & externally, support the local community of 850 people while being a great teammate who adds value to the organisation. This position is in the Glasgow Technology International Team which is responsible for a myriad of activity across the Division and in location. What you'll do in the role: Engagement with Senior Stakeholders: Locally, regionally & globally, including partnership with peers across locations as required Travel & Expenses: Co-ordinating and booking all travel, including flights, hotels, taxis etc. within the Firmwide Expense Policy. Closing out travel by processing expenses in a timely manner within Firmwide policy. Ensuring itineraries are organised in advance of business trips, along with any visas and country specific information/policies, as relevant. Meeting & Diary Management: Relevant for Senior Stakeholders in location including logistics such as booking conference calls, meeting rooms, catering and Multimedia, while being cognizant of time zones & other demands. Potential to be admin support in terms of meeting minutes as required. Project Activity & Support: Frequent local / regional / global events requiring support to execute e.g. coordination of diaries, meeting rooms, scheduling, catering & general logistics Data Analysis & Insight: Multiple opportunities to be involved with managing data / financials / systems to support the CAO [Chief Administration Officer] & Glasgow Tech Head & Glasgow Tech Division with their strategic & operational challenges Senior Internal and External Visitors: Liaison with fellow colleagues in advance of visitors in terms of diaries & events & producing schedules to accommodate competing demands on their time Key point of contact: For any queries from Glasgow Tech community & other Divisions, manage politely Space Management: Managing space/desk moves for teams, including comms & engagement activity associated with this New Starters: Supporting with new starters across the Glasgow Tech Division & working with relevant teams & managers as required Maintaining Team Documents / Procedures: Ensuring handover notes are kept live & documents stored in line with process Team Collaboration: Ability to get involved in ad hoc activities to support team members & stakeholders as required Understanding of Glasgow Tech & Morgan Stanley as a Business: Engagement with stakeholder. What you'll bring to the role: Strong working knowledge of all Microsoft Office applications, including Outlook, Word, Excel and PowerPoint skills & modern collaboration tools e.g. Microsoft Teams, Zoom, in addition to evolving collaboration technologies e.g. CoPilot Approachable, confident & friendly but professional personality; able to liaise with people at all levels Able to remain calm under pressure & manage last minute changes and/or high volume & complexity effectively & efficiently Pro-active, 'can do' approach, able to use own initiative and judgment with understanding of need for confidentiality Attention to detail while also able to see bigger picture of activity Able to accommodate & proactively manage & communicate last minute changes while ensuring effective communication Adaptable to new ways of working given constant evolution of technology & systems Organised, flexible, tenacious & capable of multi-tasking to meet deadlines Articulate; an effective communicator with clear and concise written and verbal communication skills Excellent time management & prioritisation skills while being able to work as part of a broader team Resilience - able to work through demanding tasks and learn, grow stronger and capable to overcome hard things in the future.
