We are a well-established, medium-sized Italian importer and distributor of wines and provisions. We are currently seeking a dynamic, vibrant and highly organised Office Manager to join our team.
This is a key role within the business, combining hands-on order office responsibilities with team leadership and day-to-day office management. The successful candidate will be confident communicating across departments, managing people, and ensuring smooth operations across the Order Office function.

40 hours per week, Monday to Friday
Plus 1 Saturday morning per month
Flexibility will be required at all times.
Shifts (weekly rotation basis):
* 5:00am – 2:00pm
* 7:00am – 4:00pm
* 9:00am – 5:00pm
Key ResponsibilitiesOffice & Team Management
* Managing a team of 5 employees, including recruiting, selecting, orienting and training staff
* Responsibility for the management and allocation of shifts
* Coordinating team meetings to ensure effective communication and alignment
* Communicating and liaising with other department managers and senior management
Operations & Administration
* Organising office operations and procedures
* Managing office inventory, reducing shortages and improving order accuracy
* Implementing new filing systems and improving data retrieval efficiency
* Managing supplier relationships to secure best pricing and service
Order Office & Customer Support
* Telephone liaison with customers, sales representatives, logistics and management
* Taking and processing customer orders accurately and efficiently
* Preparing invoices
* General office administration and day-to-day support
Systems & Procurement
* Management of customer procurement websites
* Acting as point of reference for company procurement systems and related queries
Skills & Requirements
* Fluent in Italian and English (spoken and written)
* Strong communication skills and confident telephone manner
* Excellent organisational and leadership skills
* Strong computer literacy (email, spreadsheets, office systems)
* Office experience preferred
* Professional attitude and a proactive approach
* Must have lived in the UK for a minimum of 3 year
