Overview of the role

The HR Shared Services Administrator will be based in our Glasgow/Manchester city centre office; you may be required to travel to our alternative office for business needs (training, team meetings etc). We do not expect this to be more than once every couple of months.

Our office location offers ample opportunity to work alongside other members of our HR community, which naturally maximises your exposure to HR. As part of the HR Shared Services team, you will have exposure to the full scope of an employee’s lifecycle. We are looking to fill this role quickly, so encourage early applications as interviews will commence as soon as possible. This is an excellent opportunity to take your first step into our HR team at Mott MacDonald.


Key responsibilities and duties

* Case Management through the Mott MacDonald MyHR system
* Cases will include requests such as reference requests, contractual changes, family‑friendly, resignations, new starters, probation etc.
* Gain knowledge and understanding of the processes within the HRSS team
* Answer calls into the HRSS team in a timely manner
* Become familiar with the requests that come through to the HRSS inbox and gain an understanding of how to process them
* Process accurate information within multiple HR systems
* Report and complete actions required for monthly or ad‑hoc reports such as audit reports, payroll reports, starters/leavers and long‑service awards
* Provide support when requested for other ad‑hoc tasks/projects
* Conduct monthly 1‑2‑1s through Connect People


Candidate specification – Essential

* Strong administration background
* Customer‑service experience
* Experience working in a process‑driven environment
* Experience with Microsoft packages: Teams, Excel, Word etc.
* GDPR knowledge and understanding of data privacy
* Experience in using ServiceNow or handling a busy inbox
