Job summary An opportunity has arisen for an Undergraduate Coordinator to join our dynamic team within the Undergraduate Medical Education Department. This is a 1WTE post working at both the QMC and City campus' as required to support with medical student placements in the trust. This post is based on site 4 days per week with 1 day per week working from home. Main duties of the job You would be working as part of a team, as well as using own initiative, to coordinate undergraduate medical student placements within the trust. The team is a key point of contact for the clinical teaching staff, medical students and university team in the succinct running of medical student placements. Duties include organising timetables, delivery welcome talks to students as their administrative support, organising teaching and patient workshops across the clinical course. Job description Job responsibilities Co-ordinating University of Nottingham medical student placements in the trust. Supporting and signposting medical students when on clinical placements. Organising teaching and workshops for placements. Collating student feedback and ensuring responses to feedback alongside Clinical Lead. Handling day-to-day placement queries. Training and Qualifications Essential Evidence of personal progression in previous job(s). Educated to A Level/NVQ 3 or equivalent qualification/experience. Experience Essential Minimum two years relevant administrative experience. Proven record of planning, organisation and administration skills. Experience with standard office software applications including the proficient use, creation & manipulation of spreadsheets using Microsoft Office / Excel / Access / Databases. Responsive to change. Experience of managing own workload. Ability to proof read and have attention to detail. Able to work autonomously. Desirable Experience of working in the NHS. Understanding of Undergraduate Medical Education. Experienced Administration Assistant. Communication and Relationship Skills Essential Evidence of excellent communication skills (verbal, written, phone). Excellent organisational skills. Pastoral skills with regards to care of students; diplomatic but able to deal effectively with challenging issues and raise appropriately. Awareness of multi-cultural needs and diversity issues, ability to adapt to and overcome communication barriers. Able to present information verbally on an individual basis and to small and large groups. Develop and maintain good working relationships with managers, staff, students and simulated patients. Resourceful, displays initiative and is self-motivated. Analytical and Judgement Skills Essential Able to make decisions when guided only by broad principles and departmental policies. Able to analyse and interpret complex data and solve most problems independently. Be able to analyse data and develop courses and projects appropriately in line with funding. Able to make a judgement on potential operational problems that may prevent completing a task on time. Experience of adapting to changes. Planning and Organisations Skills Essential Ability to use own initiative to both work under pressure to tight deadlines and solve problems with sound judgment. Must be thorough, methodical and accurate, able to meet deadlines and prioritise as appropriate. Understand limits of own responsibilities. Demonstrate a confident approach, and the ability to inspire confidence in a team. Ability to demonstrate innovative and forward thinking approach. Able to keep abreast with developments in the Trust and across the wider NHS that may impact on education. There will be opportunity to work from home 1 day per week where possible around service needs. The role involves working from a computer for long periods, handling in-person, computer and telephone queries. You will also be required to support teaching set-up as required in accordance with appropriate training. Punctual & reliable with good attendance record. Able to travel to both hospital sites.
