Job Description
Job responsibilities
To perform a range of administrative and reception tasks to support the practice's seamless operation and deliver top-notch care to patients, physicians, nurses, and other team members.
Reception Duties
* Greeting and receiving patients, caregivers, and visitors.
* Check in patients upon arrival using the EMIS system or instruct them to self-check in.
* Handle incoming inquiries, such as requests for blood forms or private letters.
* Assist patients with the registration process.
* Process patient appointment requests for today and future appointments using the practice system.
* Handle repeat prescriptions with pharmacy staff and record the process accurately.
* Take payments from patients for private services and ensure accurate recording.
* Oversee the reception and waiting areas to maintain patient comfort and cleanliness.
Tasks
* Process messages through Docman, EMIS, email, and CAS alerts.
* Maintain awareness of the rota for daily tasks.
* Check and respond to incoming electronic requests per practice procedure.
* Manage requests from doctors each morning.
Prescriptions
* Process repeat prescription requests in line with practice guidelines.
* Collect and process repeat prescription requests via fax, script box, and online.
* Communicate with patients, community pharmacists, and clinicians about questions and requests.
* Ensure prescriptions are issued in accordance with practice protocols and address questions promptly.
* Direct medication-related questions to the Surgery Pharmacist or GP as appropriate.
Scanning and Read Coding Duties
* Sort, date stamp, and distribute incoming mail.
* Scan clinical correspondence and patient-related documents onto medical records.
* Forward documents to relevant staff and ensure timely scanning (within 24 hours).
* Highlight urgent documents to the document management team and update the Process Map as needed.
* Maintain internal paper documents in line with practice procedures.
Other Tasks
* Attend scheduled staff and practice meetings.
* Ensure consulting rooms are stocked with stationery, supplies, and disposables.
* Ensure building security understands doors, windows, and alarms.
* Complete duties on morning and evening rotas and provide cover as needed.
* Perform any other duties as deemed appropriate for the role.
Person Specification
Essential
* 5 or more GCSEs A-C (or equivalent).
* Previous experience in EMIS Web.
* Experience working with the general public.
Desirable
* Experience of working in a GP practice is preferred but not essential.
