Job Summary
2x Waiting List Co-Ordinator posts, 37.5 hours. 8:30 – 17:00 (2x 15 mins, 1x 30 min break). We are looking to appoint an enthusiastic and motivated individual to fill the post of a Waiting List Coordinator within the Patient Access Services at New Cross Hospital. Experience of PAS is preferred; however, administration/clerical experience with keyboard/data entry will be considered.
Responsibilities
* Coordinate the day-to-day management and maintenance of inpatient/day case waiting lists in line with the Patient Access Policy.
* Select cases for theatre lists within guidelines to meet national and local targets.
* Replace cancellations with appropriate cases, balancing national targets for waiting times.
* Advise patients on medication stopping and fasting requirements as scheduling permits; send bowel preparation instructions when required.
* Contact patients to agree convenient admission dates in line with booked admissions.
* Notify patients of pre-operative assessment appointments.
* Manage and monitor suspended RTT clocks or watchful waiting; validate suspension length/reason and re-rate for admission when appropriate.
* Liaise with clinicians to schedule patients and optimise theatre list utilization.
* Produce operating lists for sessions and circulate instructions to relevant areas.
* Inform theatre staff of required specialist equipment and coordinate attendance of representatives as directed.
* Accurately input and monitor patient information on the computerised Patient Administration System.
* Report and keep records of patients cancelled on the day of surgery to re-date for surgery within 28 days (national target).
* Prepare elective admission lists weekly and maintain case notes in compliance with standards; ensure relevant investigation reports are available.
* Ensure security of case notes and patient information within the department.
* Deliver case notes to pre-operative assessment clinics and admission areas with all relevant test reports.
* Collaborate with Medical Secretarial and Health Records staff to support the Directorate efficiently.
* Process incoming/outgoing mail in a timely manner and respond professionally to confidential issues.
* Collect relevant statistical data on patient activity and support procedural changes; provide information/case notes as requested by Medical Staff.
* Act as a mentor for newly recruited Waiting List staff; understand working practices and procedures within the department.
* Be aware of security arrangements in the working area and manage distribution of department keys.
* Cover in the absence of colleagues as required and attend mandatory training as directed by Managers.
Qualifications
* GCSE (or equivalent) in four subjects, including English
* NVQ Level 3 or equivalent Health Records experience
Experience/Skills
* Clerical experience
* Computer literate with high accuracy keyboard skills
* Experience with databases/spreadsheets (e.g., PAS, Outlook, Radiology Database, Excel)
* Basic knowledge of medical terminology
