Job Overview
To contribute to the provision of health care to the people of the Merthyr, Cynon and Rhymney, Rhondda Cynon Taff and Bridgend valleys by providing confidential and comprehensive secretarial service to the consultant and associated team within the consultant's speciality. Following appropriate systems, procedures, policies and processes, ensuring efficient and accurate typing skills are performed and that timely communication is carried out to allow the patients to experience a smooth journey at all times.
Responsibilities
* Assist the consultants' secretaries within the Ophthalmology Department by providing direct support within the consultants' medical teams.
* Communicate with clinicians, patients, nurses, managers, administrative staff, relatives, GPs, pharmaceutical representatives and other health boards – demonstrating good interpersonal skills at all levels, including the handling of complex or sensitive information.
* Play a supportive role within the running of the ENT medical team, anticipate problems on urgent issues, recognise situations within the ENT Department and take necessary action using own initiative.
* Receive, open and post all departmental mail; carry out necessary tasks generated by such mail, e.g. drawing attention to the consultant, telephone the writer, send faxes – adhering to the Data Protection Act and Health Board policies in accordance with confidentiality.
* Deal sensitively with patients, relatives or members of the public presenting in the department or on the telephone with queries or complaints; defuse informal complaints, forward the complainant in the right direction, reassure patients, seek advice and record time, date and nature of the call.
* Liaise effectively with other internal departments (e.g. wards, medical records and radiology) and deal with enquiries arising from clinics.
Qualifications and Other Requirements
* Welsh language skills (speaking & listening Level 3 or above) are desirable but not essential.
* Experience in a secretarial or administrative role within a medical setting is preferred.
* Strong typing skills, attention to detail and timely communication.
* Ability to handle confidential information and comply with Data Protection Act and Health Board policies.
* Applicants who are not UK or Republic of Ireland nationals will require sponsorship to obtain either a Health and Care Visa or a Skilled Worker Visa.

Pay
The Agenda for Change Pay Award for 2026/27 is effective from 1st April 2026. Successful applicants with a start date from 1st April onwards will receive salary as per the 2026/27 pay award.
