A vacancy has arisen for a Support Secretary/Admin Assistant in the Rheumatology Department of the Medicine division at Northampton General Hospital. We are looking for an enthusiastic and experienced Support Secretary/Typist to join our friendly administration team.
The post holder will have a good understanding and knowledge of medical terminology with audio typing experience and strong IT skills.
In this role you will handle highly confidential information, working both as part of a team and autonomously, managing your own workload.
4 months fixed term until 31st July 2026
Main duties
* Type correspondence and documents, such as clinical letters, discharge summaries, medico‑legal reports and minutes.
* Handle enquiries on behalf of the Clinical Team via telephone, face‑to‑face or correspondence, ensuring appropriate documentation.
* Retrieve relevant patient information from test/investigation results; alert to urgent or abnormal results.
* Provide general administrative services including photocopying, filing, faxing and routine office tasks.
* File and cross‑reference all correspondence and documentation promptly.
* Ensure accurate completion of patient notes and filing of investigative reports in medical records as per guidelines.
* Prepare case‑note folders and complete necessary documentation for new patients.
* Maintain health records availability to the Clinical Team and anticipate demand.
* Receive, sort and distribute daily post, date‑stamping as appropriate.
* Assist patient tracking: booking appointments, chasing results, managing waiting lists, ensuring timely treatment up to discharge.
* Liaise with other hospital departments, GPs and external agencies.
* Assist colleagues when needed and provide cross‑cover within the administration team during absences.
* Maximise the use of innovative IT systems and support the administration team’s technology needs.
* Coordinate Clinical Teams’ diaries to ensure effective time management.
Qualifications
* Minimum 3 GCSEs at Grade C or above, including English of equivalent.
* NVQ3 or equivalent experience or qualifications.
* RSA3, AMSPAR or BSMS qualification.
Knowledge & Experience
* Knowledge of secretarial and administrative procedures.
* Excellent written and verbal communication skills.
* Polite, tactful, and efficient telephone manner.
* Proficiency in Microsoft Office (Word, Outlook).
* Experience working in a busy office environment.
* Experience with database systems.
* Planning and organisational skills.
* Advanced keyboard (touch typing) skills.
* Experience within a healthcare setting.
* Knowledge of medical terminology.
* Experience with Patient Administration Systems (incl. CamIS).
