The Role This is a highly organised, hands-on role at the heart of the business. You will manage complex international travel, support executive meetings and events, and ensure smooth day-to-day office, finance, and facilities operations. The role requires flexibility, discretion, and the ability to manage multiple priorities in a dynamic environment. Duties/Responsibilities Travel & Executive Coordination Organise international and domestic travel including flights, accommodation, transfers, and detailed itineraries Manage travel approvals, KPIs, and out-of-hours travel requests, including weekend flight amendments Process and reconcile travel invoices, including taxis and related expenses Coordinate TVS travel requests, visits, accommodation, and meal orders Support senior stakeholders with comprehensive travel itineraries Meetings & Events Coordinate meetings across multiple time zones Manage meeting room scheduling for employees, VIP guests, and events Set up and support Monthly Norton All-Staff Meetings Organise and deliver C-suite Off-Site Days Coordinate high-priority meetings and events involving Executive Directors and Shareholders Assist the Executive Assistant with Monthly Performance Review (MPR) meetings, including scheduling, logistics, transport, catering, and room bookings Support the C-suite at internal, external, and in-house dealer events, including fit-outs, hosting, and catering Office, Finance & Administration Process invoices and manage IMS activities Raise and manage Purchase Orders and Purchase Requisitions Resolve PO issues and discrepancies Onboard new suppliers and maintain accurate records (Q-Info) Manage credit card and asset requests General administrative support across the business Office, Facilities & Stock Management Provide reception cover and general office support as required Manage office supplies, stock takes, Viking and ad hoc Amazon orders Coordinate facilities support including cleaners and booking in goods Conduct weekly 5S audits and bike audits Support lab stock ordering Fleet Support Provide basic fleet cover during periods of absence Carry out licence checks Arrange mid-hire car and van bookings Provide basic fleet cover during periods of absence Conduct licence checks Book mid-hire cars and vans Personal Specification Proven experience in office coordination, business support, executive support, or operations Strong experience managing complex travel and senior stakeholder requirements Highly organised with excellent attention to detail Confident working with C-suite, Executive Directors, and external partners Comfortable managing multiple priorities in a fast-paced environment Strong communication skills and a proactive, solutions-focused mindset Willingness to support out-of-hours travel requirements when needed Rewards of working for Norton: We like to take care of our Nortoneers and we think we offer some pretty decent rewards.
