The Delivery and Digital Portfolio PMO Analyst supports the successful delivery of Digital change initiatives by providing governance, reporting, and analytical support across a portfolio of technology projects and programmes. You will ensure alignment with strategic objectives, promotes best practices, and enhances visibility into project performance and risks. You will be critical in enabling the PMO to deliver value through effective portfolio visibility, control, and governance.
Responsibilities to include:
Governance & Compliance
1. Ensure adherence to project management frameworks and standards.
2. Maintain documentation, templates, and best practices.
3. Monitor and quality assure, milestones, financials, risks, and issues data, working with PM to correct anomalies.
4. Support audits and compliance checks.
5. Quality Assure project schedules, resource plans, and governance documentation.
6. Attend stage-gate reviews and ensure audit trails are maintained.
7. Coordinate project audits, reviews, and post-implementation evaluations.
8. Set up of new projects and project folders in associated software
9. Support the creation of monthly Steer Board Packs and ownership of the Actions and Decisions Log.
Portfolio Oversight & Reporting
10. Track and report on project and programme status.
11. Monitor KPIs, milestones, financials, risks, and issues.
12. Analyse data trends to provide actionable insights.
13. Advise senior leadership with data-driven recommendations.
14. Create and review portfolio reports and dashboards (Planview, Power BI, JIRA, Microsoft tools).
15. Support monthly Portfolio Steer Board preparation and review.
Data Analysis & Decision Support
16. Analyse project data to identify trends, risks, and improvement opportunities.
17. Support decision-making with dashboards and reports.
18. Use tools like Excel, Power BI, or PPM software for analysis.
Risk, Issue, and Change Management
19. Assess risks and issues associated with projects within the portfolio/domain, working with project manager to assure mitigating strategies are of sufficient quality.
20. Maintain and monitor risk, issue, and change logs across the portfolio/domain.
21. Support mitigation planning and escalation processes.
Resource & Financial Management
22. Track resource allocation and capacity planning.
23. Support resource planning, budgeting, and forecasting activities and performance of projects.
24. Monthly Financial review (by Domain)
25. Purchase Orders (Receipting & Invoicing)
Communication and Collaboration
26. Facilitate communication between project teams and senior stakeholders, fostering collaboration and transparency across the portfolio.
27. Prepare presentations and status updates for executive reviews.
28. Communicate effectively with project teams, senior stakeholders, and external partners.
29. Support continuous improvement initiatives.
Skills and Experience needed:
30. Knowledge of Planview Portfolios (Enterprise1, Planview) or similar.
31. Experience of other tools like Power BI, JIRA, Service Now, SharePoint, Teams, Microsoft Office Applications.
32. Project Management qualifications, Prince 2, APM, MoP, or a related field.
33. Demonstrable experience in a PMO or project support role.
34. Strong understanding of project management methodologies (e.g., PRINCE2, Agile).
35. Proficiency in project management tools (e.g., MS Project, JIRA, Power BI).
36. Strong analytical and problem-solving abilities.
37. Attention to detail and organisational skills.
38. Ability to execute in a high demand environment, whilst balancing multiple priorities.
39. Excellent communicator, who can engage with all levels of stakeholders across the department.
