Purpose of Role
We are seeking a highly organised and proactive Administrator to join our team. This role is essential in supporting the facilities management function by coordinating daily operations, raising work orders, taking phone calls and emails form the teams, maintaining records and ensuring that all facilities-related tasks are handled efficiently.

ability to work in a fast-paced environment.
We are a helpdesk team which includes x1 Helpdesk Manager and 6 Contract Administrators
Responsibilities
1. Provide admin support to the facilities managers
2. Raising reactive jobs using our CAFM system MAS and issuing quotes for approval to our client.
3. Dealing with incoming calls which will consist of tenants/residents reporting any issues on sites for our contracts which are Welsh Government TFM & Transport for Wales
4. Monitoring PPM tasks – assigning tasks, uploading completion evidence to our MAS system
5. Circulate various reports to our team and clients on a weekly basis
6. Issuing jobs for our maintenance engineers and contractors
7. Minute taking for multiple client monthly meetings
Essential Qualifications/Skills
8. Proven experience in an administrative or facilities management role (2+ years preferred).
9. Strong organisational skills with the ability to prioritise tasks.
10. Excellent communication skills, both written and verbal.
11. Proficiency in Microsoft O??ice Suite (Word, Excel, Outlook)
12. Knowledge of health and safety regulations and best practices in facilities management is desirable.
