Overview

The FOI Centre is responsible for overseeing FOI activity across the National Archives (TNA) and for handling FOI requests for access to information contained within closed archival records and our own corporate information. The Service Advisor will assist case officers in managing and coordinating FOI requests, ensuring accuracy, timeliness and customer satisfaction.


Role and Responsibilities

* Log all new cases into the FOI tracking system, triaging and identifying cases requiring standard responses.
* Carry out relevancy checks on requested series of records.
* Identify daily cases due for response and liaise with case officers.
* Monitor all incoming e‑mail/inbox, reply to straightforward enquiries and circulate emails for further attention.
* Handle corporate requests, liaise with government departments when needed.
* Alert the Head of Centre to any problems, recommending remedial action.
* Develop expert knowledge of TNA’s tracking system and support training needs.
* Assist with preparation of figures for monitoring reporting purposes.
* Complete a small amount of FOI casework and redaction work as opportunities arise.
* Investigate complaints regarding Freedom of Information.
* Prepare case files/folders for the FOI Manager and for IR/ICO/Tribunal cases.
* Manage the publication of FOI responses to TNA’s website, using WordPress for updates.
* Distribute FOI training information to new starters and maintain training spreadsheets.
* Chair FOI Centre team meetings, compile agendas and minutes.
* Provide administrative support to the Advisory Council on National Records and Archives’ FOI Panel and to Reclosure cases.
* Raise Purchase Orders as required by the Head of the FOI Centre.


Person Specification

Essential Criteria

* Ability to research records, assimilate large amounts of information, analyse textual content and summarise findings clearly.
* High standard of written and verbal communication.
* Confident negotiating at senior level across government departments.
* Good team‑working skills and flexibility.
* Sound judgement, decision‑making and escalation of issues.
* Commitment to a professional public service.
* Self‑motivation to work under pressure, meet deadlines and prioritise workloads.

Desirable Criteria

* Knowledge of the Freedom of Information Act 2000 and related legislation.
* High level of IT literacy, including Microsoft Office and SharePoint.
* Experience with case management/tracking systems.
* Project management experience.


Working Conditions

Normal office environment with use of screen equipment. The role may involve handling distressing material through administrative processing of FOI requests. Some physical movement (up to 10 kg) may be required.
