Job overview

Are you an admin looking for a new challenge in mental health? Or looking for a change of pace in your work?

We are looking for an excellent administrator to join our admin team at Oxford Clinic, Littlemore Mental Health Centre in Oxford. You will work with Bed Manager and senior members of the multidisciplinary team to provide direct administrative support. We are looking for an enthusiastic, flexible, empathetic and self‑motivated individual to work within our team.

Please note this role is part‑time working 22.50 hour per week.


Main duties of the job

You will need to have proven administrative experience with a good eye for detail, excellent communication, administrative and organisational / prioritisation skills, knowledge of Microsoft Office, Word, Excel, managing Outlook diaries, and minute taking and will be able to liaise with employees at all levels. They will also have the skills to handle all contacts confidently with compassion, patience and professionalism.

This will suit someone who enjoys being busy, where they would be able to work as a part of a team, as well as using their own initiative. This is an important role which helps run an efficient service but is also an extremely rewarding one.

We are recruiting for a part‑time position of 22.5 hours per week, to be worked flexibly across Monday to Friday. Working patterns will be agreed with the successful candidate, ensuring coverage across the working week. This is a hybrid role: 2 days based at the office, 3 from home.

Detailed job description and main responsibilities

We are looking for an individual with

* Experience of working within an administrative role
* Good communication skills
* Good written and verbal skills
* Experience of servicing meetings including minute taking.
* Word processing experience with audio and copy typing
* The ability to work under pressure
* Ability to prioritise own workload
* An understanding of GDPR and the Data Protection Act
* A commitment to safeguarding and promoting the welfare of children, young people and vulnerable adults.
* Knowledge of Microsoft Office packages including Microsoft Teams

Qualifications – Academic/Skills/Professional


Essential criteria

* Educated to A-levels or equivalent qualification, or significant relevant experience in a relevant field


Desirable criteria

* Formal Secretarial Training (eg RSA) or other business administration qualification


Knowledge Requirement


Essential criteria

* Good written and verbal skills
* Working knowledge of the internet
* Knowledge of Microsoft Office Packages including Outlook and Calendar


Desirable criteria

* Some knowledge of Criminal Justice System and Mentally Disordered Offenders


Experience


Essential criteria

* Experience of working in an administrative role
* Previous experience within an NHS/healthcare setting
* Word processing experience with both audio and copy typing
* Experience of servicing meetings including minute taking
* Ability to work alone and as part of team

* experience in working with deadlines


Desirable criteria

* Previous experience working in a mental health setting
