This role provides essential support to the Head of Business Operations within Corporate Functions Technology. It ensures strong governance, accurate financial control, and effective coordination across a growing portfolio of projects.
With increasing project delivery across Corporate Functions and the Chief Data Office, and varied resourcing models supporting those deliveries, this role is critical in maintaining robust controls over resource recovery, recharging, and cost management.
The role plays a key part in enabling smooth programme delivery, supporting project managers, and ensuring compliance with organisational standards and frameworks.
Key Responsibilities
Financial Control & Recharging
1. Ensure all project resources are accurately recorded in ServiceNow.
2. Manage monthly recharges for internal and third‑party resources, applying agreed rate cards and contract terms.
3. Validate accruals and prior‑period adjustments to keep cost centres balanced.
4. Reconcile project forecasts against actual costs.
5. Ensure changes to estimates or forecasts follow agreed change control processes
Resource Management
6. Oversee resource allocation across projects, ensuring ServiceNow plans align with agreed business plans.
7. Monitor utilisation of internal and third‑party resources to avoid over‑ or under‑allocation.
8. Work with Resource Managers and Technology Delivery Managers to resolve under‑ or over‑recoveries promptly.
Process Improvement
9. Support automation of resource planning and recharge processes to reduce manual effort.
10. Help develop dashboards that provide real‑time visibility of costs and resources.
11. Contribute to the continuous improvement of project processes, templates, and tools.
Stakeholder Engagement
12. Work closely with Project Managers, Finance, Portfolio Leads, and Technology Delivery Managers to resolve discrepancies.
13. Provide guidance on recharge policies and resource recovery expectations.
Knowledge, Skills & Experience
14. Experience in a Project Support Officer, PMO Analyst, or similar coordination role.
15. Strong organisational skills, with the ability to prioritise and manage multiple tasks.
16. Clear and confident written and verbal communication skills.
17. Proficient in MS Office (Excel, PowerPoint, Word) and able to quickly learn new systems such as Oracle and ServiceNow (training provided).
18. Strong attention to detail and accuracy, with an analytical mindset.
19. Comfortable working independently and as part of a fast‑paced team.
