The Client - Our quasi-public sector client is an organisation who provides safe, effective support and care to individuals who have been affected by the Troubles. The Role - The Programme Officer, reporting to the Health and Wellbeing Case Manager, plays a key role in delivering high-quality client support across the organisation's services. This includes ensuring smooth access to services, handling calls efficiently, and guiding clients through their journey with organisation and its partners. Duties will include but will not be limited to: Responsible for the day-to-day operational functioning of the Health & Wellbeing Administrative Team and reception function. Coordinate support systems and processes to facilitate the effective distribution of call volumes and administrative processes within the Health & Wellbeing Administrative Team. Resolve client queries both face to face and over the telephone, acting as an escalation point for administrative and business support staff within the Health & Wellbeing team. Develop extensive knowledge of services available to victims and survivors and their families, to ensure pathways are seamless and responsive and to mitigate against duplication of services. Ensure the training and ongoing support needs of the Health & Wellbeing Administrative Team with the delivery of regular refresher training opportunities. Responsible for weekly management reporting on client activity and performance against agreed Key Performance Indicators. Provide effective guidance to the Health & Wellbeing Administrative Team, line managing and motivating the team to work effectively. Responsible for ensuring the appropriate induction and training of new Health & Wellbeing Administrative staff as required. Support and work with other members of the team on day-to day business and issues, contributing to the smooth running of the organisation and always ensuring clear communication of relevant business information. Manage client expectations in relation to changing funding schemes and eligibility requirements. Maintain and extract client information from the Management Information System, and create bespoke reports tailored to meet the needs of the Senior Management Team. The Person As the successful candidate you will have the following background and experience: Essential: 5 GCSEs grade A-C (or equivalent), including English Language and Mathematics. Candidates must demonstrate that they have a minimum of 2 years' practical experience within the last 5 years in each of the following: Working within a community, voluntary or statutory environment, providing face-to-face and/ or telephone support to clients presenting with trauma, mental health or physical health needs. Working effectively in a line management role, coordinating the activities of a team. Experience in drafting guidance on processes and procedures to be followed by internal team members and/or external colleagues. Experience of developing strong working relationships with multiple stakeholders. Experience of creating reports and templates, providing regular updates, and using management information systems to support decision-making.
