Job Overview
* Provide administrative support across a variety of tasks and systems.
* Act as a central contact for the team, managing in line with client expectations.
* Report and order stock levels.
* Support monthly reporting and deliver training.
* Assist with HR related cases and monitor vacancies.
* Ensure all training, risk assessments, COSHH are compliant.
Main Duties
Manage operations – maintain quality of services to customer
* Compliance – ensure all daily, weekly and periodic sign off sheets are completed and stored in line with client requirements.
* Walk round entire site daily to check on operations (more than once a day).
* Ensure Q-Audits, as agreed, are completed on time.
* Review Q-audit failed audit scores, with performance improvement plan to resolve.
* Ensure QHSE compliance site wide, working closely with regional team.
* Handle product contamination issues, glass breakages or pest activity – support Root Cause Analysis and implement corrective/preventative actions with the site team.
* Respond to all reactive tasks within agreed KPI's.
* Deal with customer complaints or concerns within 24 hours.
* Observe all client and company statutory fire and safety regulations and promote good safety habits. Follow the Livesafe principles.
* Liaise with and manage subcontractors.
* Manage the hygiene tasks scheduled on a daily basis and provide relevant reports.
* Ensure the KPIs are achieved.
* Follow your advice in your wellbeing. Ensure you are fully aware of your responsibility via QHSE Policy.
* Review processes to identify potential improvements and/or efficiencies.
* Assist contract manager with reviewing and amending of CWI's.
Manage finance – Control resources to achieve quality of service whilst keeping within the budget
* Ensure that plant, equipment and PPE is checked and replaced or repaired as necessary by informing contract manager.
Manage People – recruit, lead and develop the team
* Interview new candidates as required.
* Induct new staff as required.
* Regularly review the training and development needs of individuals.
* Provide on-site training and support for staff.
* Prepare work schedules and periodic plans.
* Ensure Mitie staff obey all site rules and maintain a smart appearance including the wearing of uniforms.
* Maintain good team spirit.
* When necessary, investigate staff and agree next steps with the contract manager in accordance with the company's disciplinary procedure.
* Cover staff when they call in absent, elevate to contract manager if required. Complete RTWI's and monitor levels.
Manage information
* Maintain training records.
* Maintain site packs.
* Maintain Annual Leave records with the contract manager, proactively organising cover before taking requests to contract manager.
* Carry out monthly Team Briefings and Toolbox with own staff.
Manage Yourself
* Manage own time effectively.
* Co-operate with requests from clients and managers and respond to requests for assistance when necessary.
* Attend appropriate training sessions.
