An exciting and challenging opportunity has arisen to join the Safeguarding Adults Team at Mersey and West Lancashire Teaching Hospitals NHS Trust working at the Southport Hospital site.

The post holder will provide a comprehensive, professional and effective administrative service to the team, including the processing of Deprivation of Liberty Safeguards (DoLS) applications. The role will also include taking minutes at meetings and ensure effective data collection. Flexibility and confidentiality are key requirements of this role and a calm and friendly manner when dealing with enquiries and external organisations. To note the role will be exposed to safeguarding concerns raised relating to adults and children and will require a high degree of emotional resilience.

The post holder will support the Trust and the Safeguarding Team to meet its statutory safeguarding responsibilities.

This will include the processing of Deprivation of Liberty Safeguards (DoLS) authorisations and undertaking daily communication with the Local Authority.

The role will include supporting the preparation for external meeting such as MARAC and providing data for both internal and external reporting.

The role will provide comprehensive confidential administrative support to the Assistant Director of Nursing Safeguarding and the Safeguarding Adults Team.

The role will include the necessitating of contacts with external bodies, clinical, nursing, management, executive and clerical staff.

Some cross cover may be required for the safeguarding adults and safeguarding children administrative support when colleagues are absent, therefore the ability to work across to the Ormskirk site may be required.

Community Services

Providing adult community services for St Helens and a wheelchair service in Chorley, South Ribble, and West Lancashire. Our inpatient unit at Newton Community Hospital is where patients needing acute hospital beds can continue rehabilitation, freeing up space for more unwell patients. We also provide urgent care at our Urgent Treatment Centre located in St Helens town centre.

Specialist Regional Services

We provide the Mersey Regional Burns & Plastic Surgery Unit at Whiston Hospital and the Spinal Injuries Unit at Southport Hospital to more than 4 million people across the whole of Merseyside, West Lancashire, Cheshire, Isle of Man and North Wales.

To provide administrative support to the Safeguarding Team to include the management of incoming internal and external communications via email, telephone and post

To receive and share sometimes complex and highly sensitive communications on behalf of the Safeguarding Team, and to highlight and prioritise communications and escalate to the appropriate person in the safeguarding team.

As directed by the Named Nurse/Named Midwife disseminate safeguarding information to relevant staff outside of the safeguarding team.

To maintain an up-to-date knowledge of the relevant systems and processes, attending appropriate training sessions.

To provide comprehensive secretarial support to the Safeguarding Team, including but not limited to room bookings and some diary management of the above Leads. Preparing and providing training resources that have been developed by the above Leads. Ordering of stationary supplies for team use.

To maintain up to date and accurate safeguarding patient-centred databases.

To update the patient's clinical record with required safeguarding alerts, and upload completed safeguarding reports to the patient's clinical record, ensuring patient information for example demographics is accurate. On the instruction of the Safeguarding Leads create new patient records when necessary.

To assist in the production and correct formatting of policies and protocols that are relevant to the service.

Support the monitoring of the effectiveness of the Safeguarding policies and protocols by providing relevant data during their review.

To prepare e-mails and some general communications.

To attend team meetings as necessary, and support and suggest improvements for the team's ways of working, including development of administrative processes in own area, seeking approval where this is required.

Demonstrate and provide advice and support for new and current staff in regard to safeguarding administrative processes and own role. As required support staff in understanding functionality of Microsoft Software package.

Using Trust templates prepare and distribute agenda and information for meetings, taking detailed minutes of meetings, and distribute the minutes and other papers required. Prior to meetings issue reminders of actions due and update action plans, as directed by the Safeguarding Leads.

In preparation for meetings attended by the above Leads provide sometimes complex and highly sensitive information.

To be responsible for providing information, as requested or timetabled, that is used to compile, produce and distribute accurate reports.

Provide requested data and information for the quarterly and annual returns for Local Safeguarding Boards/Safeguarding Partnerships and the Clinical Commissioning Group.

To maintain the administration of the service, including developing and maintaining activity, operational and training databases, in order that data can be easily retrieved.

Input and accuracy check data to ensure all data held is accurate and kept up to date. As required share information, such as training records, with relevant departments to support other databases being accurate.

As directed support the undertaking and delivery of audit and survey material by the above Leads.

Maintain and update relevant parts of the Trust Safeguarding intranet page
