Overview
An exciting opportunity has arisen for a well-motivated individual to join us as a PA/Medical Secretary in the Oncology Department within the Networked Services Division. This is a part‑time, permanent post working 30 hours per week, Monday to Friday, with the option of hybrid working. The Trust is committed to supporting flexible working arrangements.
You will be responsible for providing full secretarial and administrative support within the Medical Oncology Sarcoma and TYA teams, ensuring a high standard of PA/secretarial duties and meeting deadlines and audio typing targets. You will be enthusiastic, flexible, willing to learn, and capable of using initiative in a busy team environment. Experience of audio typing and copy typing is required, and familiarity with a healthcare environment and medical terminology is desirable. Knowledge of cancer pathways/targets would be beneficial.

Responsibilities
Specific Duties And Responsibilities
* Liaise with internal and external departments to arrange clinical investigations/procedures.
* Liaise with all consultants in your area of responsibility to provide a full secretarial service, including all administrative duties and dealing with mail, prioritising and acting on matters that can be dealt with without further reference.
* Appropriately disseminate a variety of correspondence/documentation, some of which is highly confidential.
* Type clinical correspondence, treatment summaries and annotations, ensuring compliance with turnaround times/targets and that office instructions are followed.
* Organise and schedule meetings and maintain an up-to-date diary for appointments, meetings and interviews.
* Monitor clinic templates, liaise with the clinical team and administration staff to ensure clinic numbers are manageable; escalate to the management team when appropriate.
* Liaise with staff at all levels, answering written and verbal enquiries as necessary, taking action on matters which can be dealt with without further reference.
* Answer written and verbal enquiries from patients/relatives, referring enquiries to consultants only when necessary.
Person Specification
Qualifications
* Essential: 5 GCSEs grade C or above including Maths and English or equivalent.
* Desirable: RSA stage II or III; AMSPAR Diploma (or equivalent).
Other
* Essential: Excellent interpersonal skills; flexible and pro-active approach; self-motivated and enthusiastic.
* Experience: Essential – previous secretarial/admin experience; experience in a healthcare setting; team player and able to work independently with good prioritisation under pressure; experience meeting service deadlines. Desirable – previous secretarial experience in Oncology; experience of patient management systems.
* Skills: Essential – audio and copy typing; knowledge of medical terminology; word-processing; willingness to attend role-related training; Desirable – Microsoft Office (Excel, PowerPoint).
* Knowledge: Essential – excellent communication; ability to produce accurate, well-presented work; ability to work in a team and to tight deadlines; ability to work independently and use initiative; reliability and flexibility.
