Our client an internationl investment manager are looking for a part time Corporate Receptionist to join their team. This role is to provide front of house and administration support across the business.
PART TIME
– 3 days a week in beautiful office
KEY ACCOUNTABILITIES
• Responsible for the main telephone switchboard
• Meeting rooms – checking of AV and IT equipment, including video conference links, diary management, booking, setting up and the clearing of meeting rooms.
• Post duties i.e. stamp purchase, special deliveries etc and arranging couriers
• Arrangement and setting up of working lunches when required
• Fruit and Milk – ordering and laying out.
• Regular food and beverage orders
• Ensuring the kitchen and the office remain tidy including the printer room
• Facilities – complete weekly check list
• Facilities – reporting and follow up any building FM issues
• Overseeing Re-cycling products and toner deliveries
• Management of part time housekeeper
• Stationery and IT orders
• Ordering of company business cards
• Archiving – ensuring the office it kept tidy and paper free and retrieval of old boxes etc
• Maintaining the company books and electronic portal
• Book flights, accommodation, transport and any other arrangements associated with travel, when required, including INPP Group flights.
• Printing and binding when required
• Assisting to maintain the Intranet site
• General admin assistance to PAs during busy periods
• Assisting senior managers with expense processing
• Building liaison with security for staff and visitor passes, including staff lunch allowances
• Maintenance contracts and calls out for coffee machines and water taps, including gas cylinders
• Assistance with GEM uploading and ICO renewals
• Collating the calendar each week
• Helping to maintain the company intranet site
