Overview
Sensory Soft Play is a Charitable Incorporated Organisation based in Hastings. We support parent carers of children and young people with SEND in Hastings and the surrounding areas. We provide respite sessions on Saturdays, holiday clubs, funded trips, an online support Facebook page. Our activities include multi-sensory experiences, arts and crafts, forest school, soft play. We also have a Sensory Room that can be hired out by the hour.
Role
We are looking for a part-time administrator to work 14 hours per week (we prefer two days a week, but times and days are flexible).
We are seeking a motivated and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong organisational skills and a proactive approach to managing administrative tasks. This role is essential in ensuring smooth operation of our office, providing support to staff and contributing to overall efficiency.
Salary and Contract
Salary: £10,000 per annum. Contract funded for one year initially.
Responsibilities
* Provide a comprehensive range of administrative and secretarial tasks in support of the Charity, maintaining a high standard of customer service and interpersonal skills; good verbal, written and computer skills required.
* Meet and greet customers when they arrive to use the services.
* DBS check will be carried out by the charity for the successful candidate. Role involves some lone working.
* Key Tasks:
*
o Administrative: handle children’s registration applications, book trial sessions, chase outstanding bookings; ensure accurate records of all children attending the Centre are kept on the database; maintain up-to-date attendance and monies received.
o Collate and record Charity statistics and other monitoring information requested by Funders; update and maintain the website with accurate information; support Manager with information collation for monthly management reports including occupancy figures; deal with parent/carer enquiries, visitors, emails as appropriate; other activities as required.
o Administration: provide admin support to the Manager and projects, act as a reference point for enquiries.
o Accounts: ensure accurate accounts are kept and petty cash transactions are organised; ensure invoices are produced in a timely manner and follow up overdue fees; chase outstanding payments for Saturday Club.
o Organisational: ensure excellent customer service at all times; show people around the Centre and monitor the booking system.
o Publicity: assist in preparing a range of charity publicity on Facebook and other social media.
Other Duties
* To be aware of and work within and promote Sensory Soft Play’s policies at all times and report any issues of concern.
* To attend supervision, training and meetings as required.
* To carry out any other reasonable duties as requested by Management.
