Job Summary
We are looking for a skilled administrator with Primary or Secondary care experience in the UK. The post holder will support the wider administrative team in a busy GP Practice. Duties may vary under the direction of the Team Leader and are dependent on current practice workload and staffing levels. Responsibilities include registering new patients, summarising medical records, ensuring GDPR compliance, communicating with hospitals, pharmacies, ambulance services and community healthcare providers, and processing clinical correspondence using systems such as Anima or SystmOne.
Main Duties
* Clinical Summarising
o Summarise patient medical records accurately, including correspondence.
o Read‐code information correctly on the clinical system.
o Support and train other staff in summarising processes.
* Private Work & iGPR
o Manage all private work via iGPR, ensuring GDPR‑compliant consent.
o Process reports, liaise with GPs, patients, insurers and external bodies.
o Arrange appointments where required, scan and code documents, raise invoices and track payments.
o Set up new GPs on the iGPR system.
* Records Management
o Process incoming and outgoing medical records, including registrations, deductions, RIPs and Lloyd‑George notes.
o Liaise with PCSE and the Child Health Bureau.
o Ensure accurate scanning, filing and reconciliation of paper and electronic records.
* SARs & Legal Requests
o Handle straightforward SAR and LPA requests in line with practice policy, escalating complex cases as required.
* Administrative & Secretarial Support
o Provide medical secretarial support, including referrals (e‑RS), correspondence and patient communications.
o Manage SystmOne Links and Tasks, including deductions.
o Operate and maintain the franking machine and process post.
o Administer petty cash in the absence of the Senior Administrator.
* General Duties
o Undertake additional administrative tasks and training as required.
o Be flexible and support cover for colleagues during leave or sickness.
Other Responsibilities
* Apply practice policies, standards and guidance.
* Discuss with other members of the team how policies, standards and guidelines will affect own work.
* Participate in audit where appropriate.
* To undertake other duties commensurate with this post as and when requested.

Qualifications & Experience
* Essential
o Educated to GCSE/O Level Grade C or above in English and Mathematics or equivalent knowledge or competencies.
o Experience of working as part of a team.
o Experience of working in an administrative office environment.
o Experience of working in the NHS.
o Intermediate level MS Office.
* Desirable
o Experience of working in the NHS.

* Good organisational skills.
* IT literate (including Microsoft Office, SystmOne, Accurx Triage).
* Numerate and analytical.
