The Role
We’re hiring a Project & Workflow Coordinator to help manage the flow of projects across our busy creative agency. You’ll intake project details from clients, assist in quoting, and coordinate with internal specialists to ensure every job—from branded t-shirts to marketing campaigns—is executed on time and with care.
You’ll be the central communication link—gathering details, routing tasks, sending updates, and keeping everyone aligned. You won’t be the dedicated account manager or creative lead, but you will interact directly with clients to help ensure they have what they need and hear from the right experts at the right time.

What You’ll Do
Internal Project Support
* Open and organize new jobs in Notion with full scope and deadlines
* Assign tasks to designers, developers, and production leads
* Track timelines and escalate issues or delays when needed
Client Support (in collaboration with team leads)
* Intake requests, specs, and content from clients
* Communicate updates like quote approvals, proofs, deposits, and deliveries
* Coordinate with internal experts to respond to client questions accurately
* Document all approvals, feedback, and communications
Production & Vendor Coordination
* Help prepare quotes with input from designers or vendors
* Send approved quotes, invoices, and proof files
* Create and track purchase orders, vendor payments, and shipping updates
* Monitor inventory and support warehouse/reorder logistics

Qualifications
* Bachelor’s degree in marketing or a related field is preferred
* Previous experience as a Project & Workflow Coordinator or similar position

Salary Range: Based on experience
