The Opportunity
We are seeking a motivated and proactive Personal Assistant to support two Transport Directors within Arup’s Commercial Leadership team. This role offers the chance to work at the heart of our transport leadership, providing both high-level administrative support and hands-on assistance with internal projects. Acting as a key link between the Directors and their stakeholders, you’ll play an important role in enabling effective performance and supporting strategic initiatives.

Responsibilities
1. Manage complex diaries, travel arrangements (including visas), and scheduling conflicts, coordinating effectively with Directors and Assistants.
2. Provide high-quality administrative support, including drafting documents, preparing presentations, handling expenses, and maintaining compliance with policies.
3. Organise and oversee workshops, meetings, and events, ensuring smooth logistics and accurate follow-up on actions.
4. Support Directors on internal change projects and governance processes, anticipating challenges and finding solutions.
5. Build and maintain strong stakeholder relationships while safeguarding confidentiality and integrity in all interactions.

6. Highly organised, adaptable, and confident in managing competing priorities with minimal supervision.
7. Strong communication skills with discretion, professionalism, and the ability to handle sensitive information.
8. Proactive problem-solver with a collaborative mindset and strong business awareness.
