Overview
The PCN Administration Assistant will provide day-to-day administrative support to the PCN Operations Manager, Operations Support Officer, and Clinical Director. The role includes organizing PCN meetings, managing correspondence, and maintaining accurate records.
They will support rota management, set up and maintain clinics on EMIS, manage referral lists (including the ear syringe clinic), and book patients into PCN-led services. The postholder will also assist clinicians with IT access and act as the first point of contact for log-in issues.
The role involves collating and reporting data for PCN DES, IIF, and service performance, producing reports and dashboards for board meetings and commissioners.
As the first point of contact for PCN enquiries, they will liaise with practices, the ICB, Wirral Community Trust, and other stakeholders, supporting training, events, and PCN initiatives. The postholder will work flexibly as part of a small team, providing cover for colleagues, maintaining confidentiality, and undertaking other duties to support the smooth running of the PCN.

Duties
· Provide day-to-day administrative support to the PCN Operations Manager, Operations Support Officer, and Clinical Director.
· Support the Organisation of PCN meetings: preparing agendas, circulating papers, taking minutes, and tracking actions.
· Manage incoming correspondence and enquiries, ensuring timely responses and escalation where necessary.
· Maintain accurate and up-to-date filing systems and documentation, ensuring compliance with NHS information governance.
· The postholder will also be required to work rota'd Saturdays to support Enhanced Access (EA) services, ensuring patient access is delivered in line with PCN requirements
Rota & Clinic Support
· Support the Operations Manager and Operations Support Officer in creating, maintaining, and updating rotas for PCN staff (including ARRS roles, clinicians, and extended access cover).
· Ensure rotas are circulated promptly to relevant staff and practices.
· Set up and maintain PCN clinics on EMIS and other clinical systems as required (e.g., Acute Capacity Team, Enhanced Access, Phlebotomy and other ARRS services).
· Maintain the referral list for the PCN ear syringe clinic, ensuring referrals are logged, tracked, and actioned appropriately.
· Book patients into the ear syringe clinic and other PCN-run clinics as required, ensuring timely communication with patients and practices.
· Liaise with practices to coordinate clinic schedules and patient bookings.
· Support clinicians and PCN staff with IT access, including requesting and setting up NHS email accounts, EMIS log-ins, smartcards, and other system access as required.
· Act as first-line contact for IT/log-in issues, escalating to CSU/IT support teams when necessary
Data & Reporting
· Assist in collating, inputting, and analysing data for PCN reporting (e.g. PCN DES & IIF).

· Support production of reports, dashboards, and spreadsheets for board meetings and commissioners.
· Ensure timely and accurate submissions of required data.
Communication & Coordination
· Act as a first point of contact for PCN enquiries, liaising with Practices, ICB, Wirral Community Trust, and other stakeholders.
· Support the organisation of training sessions, events, and PCN wide initiatives.
· Promote effective internal communication across practices and PCN Staff to facilitate collaborative working.
· Provide cover and support to the PCN Operations Manager and Operations Support Officer during periods of absence or peak workload.
· Work flexibly as part of a small team, supporting colleagues where needed.
· Maintain confidentiality in line with GDPR and NHS policies.
· Undertake other administrative duties as required to support the PCN.
Skills
* Office experience with a strong background in administrative roles.
* Proficient computer skills, including familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
* Excellent organisational skills with the ability to manage multiple tasks simultaneously.
* Strong typing skills with attention to detail for accurate data entry.
* Experience with QuickBooks is advantageous but not mandatory.
