The Football Administration and Operations Team at SAFC, is the backbone that supports our club's success on and off the pitch!
Our team is dedicated to ensuring that all football-related activities run smoothly and efficiently, providing vital support to players, coaches, and staff alike.
We manage a wide range of responsibilities, from coordinating match schedules and player logistics to overseeing compliance with league regulations.

The Opportunity:
The role involves overseeing the registration and induction of Academy players within the U9 to U16 age groups in collaboration with the Head of Academy Operations, ensuring accuracy and compliance with League and FIFA regulations. It includes managing the administration of the Pre-Academy and Shadow squads, which involves inviting players, liaising with parents and players, and maintaining accurate records to support smooth programme operations. Additionally, the role includes overseeing the games programme for these squads, arranging travel, sustenance, and match officials.
Responsibilities also include managing the registration and submission of training models for all schoolboy players in line with governing body regulations and working closely with the Recruitment Domain to register trialists for the U9 to U21 age groups. This involves preparing league paperwork, creating itineraries, and booking travel and accommodation. The role requires up-to-date knowledge of FIFA TMS, including the transfer of minors, international clearance, Right to Work/GBE processes, and communicating any regulatory changes to relevant staff.
Support is also provided to the Head of Academy Operations for Scholarship registrations and arranging work experience for players in the Professional Development Phase. The role oversees the FA Anti-Doping systems for U18 and U21 players to ensure compliance with regulations and is accountable for budget management against relevant cost codes.
It involves liaising with the Football Association, Premier League, and English Football League on administrative matters while ensuring familiarity with EPPP rules. Attendance at Academy Management Team meetings is required to draft and circulate minutes and action plans. Working with the Head of Academy Operations, the role facilitates all activities outlined in the Annual Planner and Schedule, including scheduling meetings and planning events to meet key deadlines.
Additional responsibilities include assisting with Academy special events, such as coordinating first team matchday tickets, activities, hospitality, and new signing inductions, as well as sending birthday cards. The role ensures that Teamwork’s is up to date for all players and staff, maintaining accurate records, managing user access, and offering support and training during inductions.
It also includes managing requests for Academy facility use in consultation with the Head of Academy Operations, exploring potential revenue streams through internal operations. The role supports the collation and distribution of the weekly coaching schedule with the Head of Coaching, maintains master documents and player files on shared servers, and promotes the use of technology to improve efficiency.
Strong administration and operational procedures must be maintained to support consistent service and continuous improvement across the Academy. The role provides cover for the Academy Operations Co-ordinator when needed, including but not limited to managing and/or attending U21 and U18 matches. Presence is also required at selected Sunday fixtures alongside the Academy Operations Co-ordinator to support programme delivery.
General administrative support across the domain is expected as needed. The role will require working evenings and weekends. It also includes participating in internal or external training sessions and proactively seeking personal development opportunities to achieve professional growth.
An Enhanced DBS from Sunderland AFC is required.
