Overview
Are you an experienced administrator? We are looking for a highly motivated, compassionate person to join the Pain Management administrative team within the Surgery Care Group. The successful candidate will demonstrate excellent interpersonal and administrative skills, manage a varied workload, and work well under pressure.
Exceptional secretarial and audio-typing skills are essential. Previous NHS experience and knowledge of medical terminology are advantages. The post holder will be able to prioritise demands of a busy service, manage time effectively, and develop good working relationships with administrative, managerial and clinical colleagues to be an effective team member.
Responsibilities
* Receiving and processing all incoming mail
* Booking and rescheduling patient appointments with the appropriate clinician
* Being the first point of contact for all telephone enquiries
* Maintaining electronic patient databases and worklists, ensuring timely action and escalation of issues
* Typing clinical and administrative letters, and covering for Medical Secretaries or Audio typists during periods of absence
* General administrative tasks including monitoring and ordering stock, managing shared inboxes and emails, scanning, printing, and diary management
* Monitoring templates for vacant clinic appointments and placing expedite appointments within appropriate timeframes
* Producing reports and other documents to analyse worklists and provide information
Location and travel
The post holder can be based at York or Scarborough Hospital. Cross-site travel may be required as needed.
Requirements
Essential
* Educated to GCSE level or equivalent; Maths and English at grade C or above or equivalent qualification/experience
* Previous secretarial/administrative experience (minimum 6 months)
Desirable
* Previous experience supervising others
Personal attributes and skills: self-disciplined, able to prioritise own workload, and possess strong communication skills. Supervisory skills are desirable.
