Job Overview

This post is fixed term / secondment until 30.11.2026 due to Secondment Cover.

Job Summary / Job Purpose

The post holder will assist the Divisional Lead and the Operations Manager with the day-to-day management of the North Wales Out of Hours Service – Central Division. This includes the management of staff, medical and IT equipment and facilities used to provide the Out of Hours Service in all Out of Hours Treatment Centres. The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.


Main Duties of the Job

* Communication: Deal with multi-faceted information regarding complaints (patient-sensible information with issues of confidentiality). Investigate complaints so relevant information can be passed to the involved parties, traveling to the centres to retrieve recorded conversations, obtaining data from the Adastra system, and liaising with other organisations or complainants.
* Rotas: Complete and maintain the Out of Hours Service rotas (Rota-Master) for support staff, ensuring that rotas are completed two months in advance, cover is adequate and in line with service specifications, and all staff are advised of the sessions allocated to them.
* Finance: Process requisitions for various items – consumables, equipment, staff uniforms, etc.
* IT/Training: Resolve IT issues (hardware and software) relating to individuals and centres and act as the HB contact for the providers.

Person Specification

Essential Criteria

* NVQ Level 3 in Administration or equivalent level of experience or knowledge, ECDL or equivalent knowledge or experience.
* Evidence of experience acquired within an NHS/public sector environment.
* Excellent IT skills in all aspects of MS Office to include Excel and SharePoint.
* Significant experience of full range of office procedures and practices.
* Advanced and accurate keyboard skills, using a range of software packages.

Desirable Criteria

* IT Qualification.
* Experience of procurement and financial mechanisms, e.g., placing orders, tracking, and clearing invoices.
* Experience of working in a GP Out of Hours service.
* Knowledge of GP Out of Hours service provision.
* Comprehensive experience of using a range of Microsoft software packages.
* Minute Taking.
