We are seeking a highly organised and detail-oriented Office Administrator to join our team at On The Ball Academy and our affiliated charity. This role is essential in ensuring the smooth day-to-day operations of our office, supporting both our football academy and charitable initiatives. The ideal candidate will provide administrative support, manage clerical tasks, and contribute to the efficiency of our programs.
Responsibilities
* Oversee daily office operations to ensure smooth and efficient workflows.
* Accurately perform data entry related to player registrations, fundraising activities, and program management.
* Maintain well-organised filing systems for both physical and digital documents, including player records, charity reports, and sponsorship agreements.
* Provide administrative support, including drafting correspondence, reports, and event planning materials.
* Utilise Google Suite (Docs, Sheets, Calendar) for document creation, scheduling, and communication.
* Handle financial administration, including invoicing, expense tracking, and funding records using QuickBooks or similar accounting software.
* Professionally manage incoming calls and emails, addressing inquiries from parents, players, donors, and community partners.
* Assist in the preparation of meetings, including organising agendas and taking minutes.
* Support the wider team with administrative tasks related to academy operations, coaching schedules, fundraising events, and community outreach.
Qualifications
* Previous experience in an administrative or office support role, preferably within a sports, nonprofit, or educational setting.
* Strong organisational skills with the ability to prioritise tasks across both academy and charity operations.
* Proficiency in Google Suite (Docs, Sheets, Calendar) is essential.
* Experience with QuickBooks or similar accounting software is a plus.
* Excellent data entry skills and keen attention to detail.
* Strong communication skills, including a professional phone manner and the ability to engage with parents, donors, and community stakeholders.
* Ability to work independently while also collaborating with coaches, volunteers, and charity partners.
* A proactive approach to problem-solving and task management in a fast-paced, dynamic environment.
