As the first point of contact for Oxford PV, you will play a pivotal role in ensuring the smooth and efficient operation of our office by providing comprehensive administrative support and coordinating facilities in order to ensure the office remains a welcoming, safe and productive environment for employees and visitors.
This role would be suitable for someone with strong organisational skills, software proficiency, and excellent communication to support teamwork and external relations. The ideal candidate is proactive, takes initiative, and remains composed when handling unexpected challenges or competing priorities.
What will you be doing?
Operational & Facilities Coordination:
Ensuring the office runs smoothly daily, maintaining a well-organised, high-functioning workspace.
Acting as the go-to liaison for building management, cleaning teams, security, contractors, and service providers.
Managing access control and operational processes within a secure environment.
Handling maintenance requests, coordinating repairs and overseeing routine servicing.
Supporting small improvements, space planning, and occasional office enhancement projects.
General Office Support:
Maintaining stock levels of office supplies, managing suppliers, and ensuring best value for services.
Supporting internal meetings, team events, space setup, and general office logistics.
Overseeing front-of-house, including deliveries, answering the doors and phones, welcoming visitors and ensuring a professional sign-in experience.
Assisting with physical office tasks such as deliveries, minor moves, and layout adjustments as needed.
Administrative Support:
· Undertaking general administration tasks to ensure the smooth running of the office including ESG data support, travel and logistics support and other tasks as required.
· Assisting the Administration team Committees with large meetings and events.
· Organising catering bookings and logistics for internal meetings including Board meetings.
· Identifying areas for efficiency improvement and implementing effective solutions.
Event Coordination:
Supporting with planning and executing Social Committee, EDI, HR and other company events.
Monitoring and managing supply levels for meetings and events, placing orders when necessary.
What will you need to succeed in the role?
Proven experience in both office management and facilities responsibilities
Strong organisational and time management skills and must be easily adaptable to change
Strong verbal and written communication skills to work effectively with internal and external stakeholders
Highly proactive and naturally takes ownership without waiting for direction
Calm and confident when dealing with unexpected issues or multiple priorities
Keen attention to detail to ensure all tasks are completed accurately and to a high standard
Excellent IT skills with the ability to navigate Microsoft Office software packages
Proven experience of handling sensitive information with integrity and discretion.
Please note: This role is office based and you will be required to be in the office 5 days a week.
