Job Purpose
:
As one of the largest generator specialists, our mission is to explore new opportunities where reliable power is critical and continue to grow sustainably in current markets.
To do so, we are looking for an Admin Assistant for our Eastleigh Depot. The primary responsibilities of this role include providing administrative support to the Southampton Depot, assisting with a range of administrative tasks, and delivering excellent customer service.
Key Responsibilities:
1. Answer incoming telephone calls
2. Using the Inspire database to produce Delivery Notes and Off Hire Notes for all equipment hired on a daily basis
3. Produce hire quotations using the InspHire database for new and existing clients, liaising with the Depot Manager, Assistant Depot Manager and Sales Manager as required.
4. Produce job sheets as required for Engineers etc.
5. Raise purchase orders as required.
6. Provide administration support to office and yard staff as required.
7. Contact customers to chase outstanding quotes and help maintain quotation database (InspHire and Goldmine)
8. Ad-hoc administrative duties.
9. In the absence of Depot/Assistant Depot Manager carry out duties that are fair and reasonable to ensure the smooth running of the depot.
10. Comply with the Company Health & Safety Policy, including carrying out general housekeeping to ensure work areas are kept tidy.
Comply with all aspects of the company ISO 9001:2015 procedures, proactively contributing to the company’s continuous improvement programme.
Skills and Experience
11. Strong organisational and communication skills.
12. Ability to build effective working relationships with depot staff and colleagues across the company.
13. Numerate with good attention to detail.
14. Proficiency in IT, including MS Office applications.
15. A flexible and proactive approach to work.
16. Customer-focused mindset with a strong sense of commercial awareness
Preferred:
17. Experience with systems such as Insphire, Access FocalPoint, Goldmine, or other CRM platforms.
