One of our flagship contracts is with the Ministry of Defence at a major base near Watford – a complex, high-profile environment where we provide a full range of hard, soft, and technical FM services. We’re now seeking a Document Controller to co-ordinate and continuously improve the Asset Management System to support the safe, efficient and effective delivery of the asset management objectives and contract requirements including data capture, condition and verification.

In this role you will:

1. Maintain and update the Asset records.
2. Support change management process to ensure smooth handover of Asset Information
3. Ensure filing structures both electronic and paper are maintained to support contractual evidencing of Asset capture for handback compliance for key stakeholders and the client alike.
4. Prepare data for trend analysis of condition monitoring for Asset & Lifecycle tasks including monthly dashboards to support performance monitoring and reporting.
5. The provision of accurate reporting information to management in the following key areas; Asset Management, contractual reporting for Client and Skanska OU requirements.
6. Develop and run reports for various data sets and management information (MI) derived from the CAFM and other IT platforms.
7. Support contractual audits & statutory, mandatory & technical compliance checks.
8. Working with other teams, ensure up to date information is provided to maintain accurate Asset databases across all critical services.
9. Identify and highlight any risks associated with Asset data integrity to line management.
10. Monitor service delivery in relation to Service Level Agreements/Contract requirements for specialist sub-contractors.
11. Maintain personal training and development to support the role
12. Undertake any other reasonable tasks that may arise from time to time as required.
13. Whilst the primary location for this role is Northwood Headquarters, there may be a future requirement to support the wider business bidding needs within the Skanska defence portfolio which could require travel to other sites or locations.

In this role we need:

14. Highly proficient with Microsoft Excel and experience with O365 applications
15. Advanced Numerical Skills (Mathematical, Logic, Statistics)
16. Able to gain and maintain MoD Security clearance
17. Experience using CAFM Databases (e.g. Concept Evolution)
18. Experience of Asset capture software (e.g. Mobiess)
19. Communication: providing documents and reports that are clear, precise and understandable when presenting Data
20. Problem solving/analysis: understanding of complex issues and problems and ability to form practical/pragmatic solutions.
21. Team working: used to working in teams, displaying a flexible and constructive attitude

This role requires a minimum level of security clearance and may also require a higher level of National Security Vetting. You should be aware that certain levels of clearance or specific projects and/or sites have UK residency requirements; and any dual or multiple nationalities must be declared. Any persons who do not fulfil these residency requirements may be unable to obtain the required level of clearance and would not be eligible to undertake this role.
