Responsibilities
Facilitate the smooth running of the People and Culture team by providing proactive, initiative‑driven administrative support in a busy, fast‑paced environment.
* Produce guidelines/workflows on administrative processes
* Assist recruitment processes: posting roles, tracking campaigns, coordinating interviews, issuing employment contracts, and handling new‑starter paperwork and right‑to‑work checks
* Coordinate new‑hire onboarding, orientation and induction in partnership with the UK Training Team
* Maintain accurate employee records across all systems, ensuring legal compliance and up‑to‑date HRR systems
* HR folder management: keeping records accurate, consistent and GDPR compliant
* PO orders and support the set‑up of third‑party suppliers
* Time and attendance system administration, updating databases as required
* Reporting: absence, holiday, new‑starter survey data, exit interview data, etc.
* Support payroll administration
* Maintain right‑to‑work compliance, recording visa expiry dates and notifying managers of upcoming expirations
* Liaise with agency partners on colleague queries and manage transfer of agency colleagues to direct contracts
* Administer probationary review process and confirmations, new‑starter surveys and returns
* Assist the HR Services Lead with benefits enquiries, administration, enrolment and data accuracy
* Monitor HR Admin/Payroll inboxes, responding promptly and maintaining SLAs
* Support managers in understanding policy and procedure, providing updates when policies change
* Triage employee and manager queries, escalating to the appropriate People & Culture representative when required
* Manage employee exit process: confirming resignations, removing from systems, sharing leaver information with payroll, administering exit interview surveys and notifying stakeholders

* Participate in projects as required
* Take notes during HR meetings, complete invitations and follow‑up letters, in accordance with process
* File all paperwork correctly in employee files, providing due notification where appropriate
* Maintain trackers for case work, disciplinary outcomes, vacancies and hiring across the People & Culture function
* Prepare administration for job changes through contracting, ensuring correct authorisations and sharing salary change information with payroll
* Submit colleague requests for flexible working arrangements and job changes to people managers, following up to ensure compliance with timelines
* Produce letters: employment confirmation and reference letters, following company policy and templates
* Liaise with site administrators to ensure consistency across all UK sites
* Ensure and maintain GDPR compliance and confidentiality across the team, reporting incidents through the correct channels
Qualifications
* Previous experience in a fast‑paced Human Resources role or related administrative position with exposure to compliance
* Excellent attention to detail and the ability to maintain accuracy within a busy role
* Ability to handle sensitive information with confidentiality
* Initiative and ability to work independently
* Excellent written and verbal communication skills
* Familiarity with HR software and databases
* Proficient in MS Office (Word, Excel, PowerPoint)
* Strong prioritisation skills; able to handle essential, compliance and time‑bound requests independently
* Strong understanding of the UK General Data Protection Regulation and Data Protection Act 2018
* Solution‑focused mindset
* Strong interpersonal skills with the ability to communicate compassionately and confidently, and to assert oneself appropriately with senior stakeholders
