Bank Admin and Clerical Support

The Royal Orthopaedic Hospital NHS Trust provides a comprehensive range of musculoskeletal health care, ranging from the general orthopaedic procedures (total hip replacements, total knee replacements etc) through to complex bone tumour surgery, spinal surgery (including tumours, elective and trauma). The Royal Orthopaedic Hospital NHS Trust also provides a specialist orthopaedic paediatric service ranging from spinal deformity, complex bone tumour and leg lengthening surgery.

The Staff Bank provides temporary cover as a result of staff shortages or to cover short‑term unfilled vacancies. We provide choice, flexibility, and access to professional and personal development. We are looking for Admin and clerical staff with a variety of skills to join our in‑house Admin Bank. If you would like to work that fits in with your personal circumstances on an ad hoc basis, then Bank work could be just what you are looking for.

These are: Band 2 Admin Support


Main duties of the job

To provide administrative support to various departments i.e. using the electronic booking systems, data imputing, contacting patients, providing administrative support.

Job responsibilities

JOB PURPOSE

To provide administrative and clerical support to various Wards/Departments throughout the Trust as and when required. To include: working as a Receptionist, Ward Clerk or in an Administrator/Clerical Officer capacity within a Ward or Office environment, as part of a multidisciplinary team.


Principal duties and responsibilities

1. To receive, distribute and open post, as required, and to prepare outgoing mail.
2. To respond to queries face to face, by telephone or in writing, recording and communicating messages to relevant staff where necessary.
3. To maintain paper and electronic filing systems.
4. To order stationery and distribute orders accordingly.
5. To undertake any photocopying or faxing for the ward/department.
6. To produce various types of correspondence i.e. letters, emails, spreadsheets etc using Microsoft Office Packages.
7. To book appointments and/or arrange meetings/interviews.
8. To input patient/general data using hospital computer systems.
9. To provide clerical support and assist Ward Managers with the admission/transfer and discharge of patients.
10. To liaise with nursing staff over the discharge of patients, including where appropriate the collection of property from the General Office, dispatching notes, arranging transport to peripheral areas.
11. To keep records up to date using PAS i.e. patients admitted, transferred, discharged etc.
12. To request and record the movements of notes and X-rays on the hospital PAS system.
13. To liaise effectively with all staff, other departments and the general public.
14. To attend and participate at ward/team meetings where appropriate.
15. To act as part of a team, providing clerical services as necessary for colleagues in their absence.

As a member of the Staff Bank (Admin & Clerical) you will also be expected to be flexible and adaptable and willing to carry out assignments in all areas, working across a variety of Trust sites. You must be willing to learn and carry out any training necessary for the role you are assigned to. You are also expected to be punctual and well presented, maintaining a professional image at all times whilst on duty.

Person Specification


Qualifications

* RSA II/NVQ level 2 or an equivalent level of knowledge acquired by experience


Skills/Experience

* Competent with Microsoft Office or ECDL
* Articulate & experience of communication with patients and staff
* Previous VDU work and data processing procedures


Interests/Motivation

* Flexible
* Ability to identify changing priorities
