The Role

We are looking for a Team PA to provide essential support to leaders within our Business Services team. This role is pivotal in ensuring smooth operations and effective coordination across the team by delivering high-quality personal assistant and administrative services.

You will work closely with senior leaders and their teams, managing diaries, meetings, and travel arrangements, while also supporting broader team activities such as onboarding, events, and community initiatives. This is a diverse position that demands excellent organisational abilities, meticulous attention to detail, and the skill to manage sensitive information with integrity.

This is a 12 month fixed term contract based in London.

What You'll Be Doing

* Provide PA support to Global Pillar Leads and their wider teams.

* Organise meetings across multiple time zones and prepare documentation.

* Take minutes, track actions, and ensure follow-up on meeting outcomes.

* Arrange local and international travel, including visas, insurance, and itineraries.

* Liaise with internal support teams such as facilities, travel, and reception.

* Process invoices and reconcile expenses for the department.

* Maintain accurate records on company systems and manage project tasks.

* Support onboarding of new team members, including equipment and access setup.

* Coordinate team events such as away days, volunteering activities, and celebrations.

* Manage updates and engagement posts on Viva Engage for Business Services.

Who We're Looking For

* Experience in reception roles is essential; PA experience is desirable.

* Excellent attention to detail and accuracy in all tasks.

* Strong interpersonal and prioritisation skills to meet tight deadlines.

* Ability to work flexibly and adapt to changing priorities.

* Proactive problem-solving approach with a can-do attitude.

* Effective communication skills and professional presentation.

* Ability to handle confidential information with discretion.

* Comfortable using multiple software packages and systems.

* Strong interpersonal skills for liaising with internal and external stakeholders.

* Team player with a collaborative mindset.
