Job Description
Owen Reed is looking for an Administrator for a top law firm in London.
We are working with a highly respected law firm to recruit an Administrator to join their Business Services Centre team. This is a hybrid role with 3 days in the office and 2 days working from home, offering an excellent opportunity for an organised and detail-focused administrator to support legal and support teams in a fast-paced professional services environment.
This role is ideal for someone with strong administrative skills who is keen to develop their experience within a legal or professional services setting.
Key Responsibilities
* Save documents to the document management system and liaise with the Reprographics team for scanning where required.
* Complete document engrossments with EAs and secretaries, including binding and finishing documents.
* Create, prepare and assemble sales packs, court bundles and other exhibition materials.
* Assist with the preparation, assembly and maintenance of court bundles and exhibits.
* Provide general administrative support and assist with specific projects for Legal and Support Departments.
* Demonstrate teamwork by providing cover within the team and flexibility with office days when required.
* Learn key client requirements to ensure correct processes and procedures are followed.
* Support efficient filing and document management processes, including maintaining online registers and saving documents to DMS and datasites.
* Complete small or individual copying tasks within practice areas where required.
* Use the workflow management tool proactively, taking ownership of tasks from start to finish and ensuring deadlines are met.
* Deliver excellent internal customer service by building strong relationships with partners, lawyers, secretaries and departments.
* Identify opportunities to improve processes and contribute to the continuous improvement of the General Administrative Team.
* Undertake any other duties required to support the team and business needs.
Candidate Requirements
* Recent office administrative experience, ideally within a law firm or professional services environment.
* Good typing speed with a high level of accuracy.
* Strong attention to detail and accuracy.
* Good working knowledge of Microsoft Word, Excel and Adobe.
* Previous experience using a document management system is desirable but not essential (training provided).
* Some experience working with legal documents is advantageous.
* A proactive, organised and team-focused approach with excellent communication skills.
