DOCUMENT CONTROLLER

Job Profile Summary

Responsible for managing the day to day document control and office management. This role offers the opportunity for further development into project support which will include ordering materials, sending out enquiries (both materials and subcontracts) and communication with key stakeholders.

The role will be office based in our Hertford office, although our offices are likely to relocate within a close proximity within the next few months.

Key Accountabilities Of This Role Are

· Maintaining electronic files for all items relating to each site. This includes invoicing, time sheets, drawings, site documentation.

· Health & Safety. Compiling the H&S packs for each new site based on each specific site job sheet. Ensuring that this is maintained if site requirements change. This will include ensuring that the appropriate members of the team have the required certification in place.

· Weekly time sheets. Accounting for each site and persons attending. This includes external contractors.

· Setting up new site files. Ensuring that all documentation and plans are kept up to date. Sending key documentation to site and external contractors.

· Project support. Sending out enquires for materials and subcontracts including ordering materials and plant based on site requirements. Assisting with monthly project reports. Issuing new letters/resident updates as applicable.

· Tenders. Setting up new tender files. Assisting with quotes and enquiry. Maintaining tender schedules.

· Operations and Maintenance Manuals. Compile and maintain.

Essential Experience Required

· Strong attention to detail.

· Strength in building effective relationships with clients and sub-contractors.

· Excel, Word, Email, PowerPoint – moderate level.

· Previous experience of working in the construction industry.

Desirable Experience

· Drop Box Experience – moderate level.

· Basic invoicing.

Employment

· Full time 0800 – 1600 desirable although flexible working hours may be considered.
