The organisation’s Insurance Directorate is seeking an experienced administrator with a positive, can-do attitude. The successful candidate will provide dedicated support to two Senior Managers and their teams supervising insurance firms, while working collaboratively with other administrators.

This is an excellent opportunity to play a pivotal role within a busy division and would particularly suit an administrator looking to further develop their skills and experience in a dynamic office environment.

To apply for this role, you will have proven experience providing full secretarial and administrative support to a senior management team, including diary management, producing papers, and coordinating meetings.


Key accountabilities

* Provide comprehensive secretarial and administrative support to Senior Managers and their teams.
* Manage diaries, liaising with internal and external contacts, producing papers for meetings, and chasing briefings.
* Monitor compliance standards for the team, including producing monthly management information reports.
* Maintain effective records management, including electronic filing systems and firm inboxes, ensuring accuracy and adherence to policies.
* Arrange external meetings with insurance firms and large events such as away days or college sessions, including room bookings and refreshments.
* Meet and escort visitors from reception as required.
* Handle general correspondence and queries, ensuring emails and documents are filed appropriately. Plan and arrange travel (domestic and international) and process related expenses.
* Attend internal (and occasionally external) meetings, take minutes, and follow up on actions.


Key Criteria

* Proven experience as a secretary or executive assistant, providing high-level administrative support to senior management, including diary coordination, correspondence handling, and document preparation.
* Ability to manage multiple tasks and priorities effectively.
* Strong ability to build productive working relationships and professional networks.
* High attention to detail and accuracy in all work.
* Ability to work proactively and independently, using sound judgment with minimal supervision.
* Excellent organisational, prioritisation, and time management skills, maintaining a structured approach under pressure and meeting tight deadlines.
