Role Overview The GasCare Administrator is responsible for providing high-quality administrative support to ensure the smooth running of the Macclesfield office. This role supports engineers, customers, and management by managing bookings, maintaining accurate records, handling enquiries, and ensuring compliance with company processes. The ideal candidate will be organised, proactive, and confident communicating with customers and internal teams. Key Responsibilities Customer Service & Enquiries Handle incoming calls, emails, and customer enquiries professionally. Provide information on services, appointment availability, and pricing. Manage customer complaints or escalations and follow the correct resolution process. Job Booking & Scheduling Schedule boiler services, repairs, and installations for engineers. Coordinate diaries to maximise productivity and minimise travel. Ensure appointment confirmations are sent and updated promptly. Liaise with engineers throughout the day for schedule changes. Administration & Record-Keeping Maintain customer records, service histories, certificates, and documentation. Process completed job sheets, engineer notes, and invoices. Manage online booking system entries, including card pre-authorisation. Track Service Care agreements and ensure data accuracy. Compliance & Documentation Assist with generating Gas Safety Certificates and other compliance documents. Ensure all paperwork meets industry and company standards. Support health & safety and audit requirements. Office & Team Support Provide general administrative support to the Macclesfield management team. Assist with stock ordering, parts allocation, and returns where required. Help maintain a smooth-running, well-organised office environment. Skills & Experience Required Strong administrative experience (preferably in a service or engineering-based environment). Excellent telephone manner and customer service skills. Strong organisational and time-management skills. Confident using IT systems, CRM tools, and Microsoft Office. Ability to multitask and work in a fast-paced environment. High attention to detail and accuracy. Personal Qualities Friendly, professional, and approachable. Calm under pressure and solutions-focused. Reliable and consistent, with a strong work ethic. Team player with a positive attitude. Desirable (Not Essential) Experience in the heating, plumbing, or property services sector. Knowledge of gas industry certifications (e.g., CP12s).
