Wedding Coordinator – The Scotsman Hotel, Edinburgh
As the Wedding Coordinator at The Scotsman Hotel, you will be the creative force and trusted advisor behind one of the most significant days in our guests' lives. You will guide couples from their first enquiry to their final farewell, ensuring every detail of their celebration reflects the romance, elegance, and prestige of our iconic hotel. With a deep appreciation for luxury service and Scottish heritage, you will craft bespoke wedding experiences that are as unique as the love stories they represent.
Your role will combine meticulous planning, genuine empathy, and a passion for hospitality to deliver unforgettable weddings that honour The Scotsman's renowned five-star standards in the heart of Edinburgh.
The Role
Wedding Sales & Planning
* Manage all wedding enquiries, show rounds, and bookings, ensuring a warm and polished client experience from the outset.
* Design tailored wedding packages that reflect the unique desires of each couple, while aligning with the hotel's premium positioning.
* Showcase the hotel’s distinctive spaces — from historic boardroom to romantic suites — as exceptional wedding venues.
* Collaborate with the Sales & Events Manager to meet revenue targets through proactive sales and cross‑selling opportunities.
Client Relationship Management
* Serve as the primary point of contact for couples, building lasting relationships through trust, attention to detail, and thoughtful communication.
* Provide expert guidance on timelines, menus, suppliers, and styling, offering curated recommendations that reflect the Scotsman’s elevated standards.
* Ensure seamless transitions between planning, handover, and execution phases, delivering consistently exceptional service throughout.
Wedding Day Coordination & Execution
* Liaise with internal departments — including F&B, Rooms, and Front Office — to guarantee flawless delivery on the day.
* Provide on-site coordination to support the couple, guests, and suppliers, ensuring a smooth and joyful celebration.
* Uphold discretion, professionalism, and emotional intelligence in high-pressure, high-sentiment environments.
Reporting & Market Insight
* Maintain accurate wedding forecasts, conversion metrics, and post-event reports.
* Keep up to date with local and national wedding trends, supplier offerings, and competitor activity to inform packages and promotions.
* Represent The Scotsman Hotel at relevant wedding fairs, showcases, and networking events.
The Person
The Ideal Candidate Will Have
* Demonstrable experience in coordinating weddings or luxury private events.
* Natural empathy paired with strong organisational and communication skills.
* A genuine passion for love stories, celebration, and creating lasting memories.
* Confidence in working with premium clients and managing expectations with grace.
* Familiarity with event software platforms (Delphi, Opera, or similar) is desirable.
* A keen eye for detail and design, with the ability to bring elegant visions to life.
